Jacobs Executive Administrative Assistant - Broward County in Fort Lauderdale, Florida

Jacobs is hiring an Executive Administrative Assistant to support Broward County, and you won't want to miss this opportunity! As an Executive Administrative Assistant in our Program Management team, you will support the Transit Department Director, who oversees all public bus service, operations, and maintenance while implementing the department’s largest transportation expansion capital program. The successful candidate must multitask effectively, use independent judgment, and take the initiative to tackle new tasks and challenges. You will need to use experience-based judgment to evaluate situations and develop solutions. You will be expected to anticipate executives’ needs and ensure accountability.

Your responsibilities will include managing and coordinating with other County executive assistants, scheduling a complex calendar, coordinating conference rooms, travel, and meeting agendas in a fast-paced environment. Handling confidential information with a high degree of sensitivity when composing and preparing correspondence, meeting materials, and dealing with personnel issues will be crucial. You will attend meetings, prepare meeting minutes, list action items, distribute meeting minutes and action items, and follow up with the Director and other individuals to fulfill the action items. Additionally, you will need to be solution-focused, take ownership of requests, identify and analyze problems, and make recommendations for resolving them.

You will also be responsible for the following:

  • Provide administrative and logistic support for project meetings, including agendas and minutes.

  • Review the Director’s calendar and prepare necessary reference material daily.

  • Brief the Director on important actions and priorities.

  • Track and maintain action items for the Director and meeting participants.

  • Organize project events or meetings, including catering arrangements if needed.

  • Prepare inter-office notices, bulletins, and memoranda.

  • Ensure materials submitted for the supervisor's approval include all relevant data, files, and signatures.

  • Arrange appointments, conferences, and meetings.

  • Create, organize, and maintain program files.

  • Perform additional duties and tasks assigned by the Director.

A successful Executive Administrative Assistant will have:

  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

  • Strong written and verbal communication skills, service-oriented and with the ability to proofread and edit others’ work.

  • Ability to work well with cross functional teams and with internal partners.

  • Demonstrated key competencies in the areas of communication - both written and verbal, planning and organizing, flexibility and adaptability, customer service, problem assessment and problem solving, attention to detail, and teamwork

This position is 100% onsite in Broward County, Florida, remote and hybrid work models are not available. This position is not eligible for immigration sponsorship.

  • Bachelor’s degree and/or equivalent related work experience in lieu of education.

  • 5+ years or more of experience as an Executive Administrative Assistant in a large engineering, construction, or facilities maintenance related organization

  • Advanced level computer skills in MS Office Suite: Word, Excel, Outlook, PowerPoint, and Teams (videoconferencing)

  • Experience working with high-level clients, executives, government, and public officials on a regular basis

  • Provide 3-5 work samples of recent documents, presentations or reports (past 2 years).

  • Willing to be onsite daily
