Position Summary\ The Administrative Assistant plays a key role in enhancing the efficiency of the Business Development Department\ of the Shoshone-Bannock Tribal Enterprises & Agri-Business Corporations. This position provides comprehensive\ administrative and secretarial support while managing clerical tasks, maintaining records, coordinating meetings and\ events, procuring supplies, and assisting with special projects. This role requires handling confidential and sensitive\ information, responding to non-routine correspondence, and interacting with a diverse group of internal and external\ stakeholders. The ability to exercise independent judgment to prioritize and manage a varied workload is essential.\ Essential Duties and Responsibilities\ Administrative Support:\ Maintain and update the departments filing system.\ Answer phones, greet visitors, and direct inquiries appropriately.\ Sort and distribute mail; draft responses to routine correspondence via email or phone.\ Respond to frequently occurring requests for information.\ Document Creation and Review:\ Prepare correspondence, memos, charts, tables, graphs, and other documents.\ Proofread all materials for accuracy in spelling, grammar, and layout, ensuring professional presentation.\ Scheduling and Coordination:\ Maintain the departments calendar of events and process agenda requests.\ Schedule and coordinate meetings, reserve facilities, and prepare meeting spaces.\ Attend meetings to take, record, and transcribe minutes; prepare and process resolutions.\ Project Assistance:\ Work independently or collaboratively on special non-recurring and ongoing projects.\ Manage special projects as assigned, including planning presentations, disseminating information,\ coordinating direct mail campaigns, and creating brochures.\ Confidentiality and Policy Compliance:\ Handle confidential and non-routine information responsibly.\ Provide clarification and explanation of departmental policies when needed.\ Other Duties:\ Assist with additional tasks and responsibilities as needed to ensure the smooth operation of the department.\ Adapt to temporary changes in duties or workload as business needs evolve.\ Supervisory Responsibilities\ This position has no supervisory responsibilities and reports directly to Business Development Executive.\ Performance Standards\ Candidates for the position must be able to maintain dependable attendance and reliability, have effective\ administrative Assistance office skills, excellence in customer service and maintain confidentiality.\ Qualifications\ Education and Experience:\ Certification in Office Management or at least five years of proven success in an office or administrative\ support role.\ Equivalent combinations of education and experience will be considered.\ Licenses and Background Requirements:\ Valid drivers license required; must be insurable and bondable.\ Must successfully pass a comprehensive background check and substance abuse screening.\ Skills and Abilities:\ Strong written communication skills, including the ability to prepare reports and correspondence.\ Effective verbal communication skills, with the ability to present information and respond to questions in\ group settings.\ Demonstrated ability to adapt to business changes and work effectively under pressure.\ Knowledge of administrative functions, including fiscal operations, accounting, personnel management, and\ organizational behavior.\ Ability to develop and present long-range program plans and budgets.\ Core Competencies\ Time and Budget Management: Consistently complete projects on time and within budget.\ Teamwork: Foster a collaborative team environment and demonstrate commitment to shared goals.\ Cultural Sensitivity: Show respect and sensitivity for cultural differences and promote an inclusive,\ harassment-free environment.\ Ethical Conduct: Uphold organizational values, work with integrity, and maintain professionalism.\ Customer Service: Respond promptly to customer needs, manage difficult situations with professionalism,\ and ensure satisfaction.\ Important Application Criteria\ All interested individuals must submit a complete application, resume, and all supporting certificates, licenses,\ degrees, and other documentation of the Shoshone-Bannock Tribal Enterprises, Personnel Department, P.
