The Colorado State University Veterinary Health System exists to support the College of Veterinary Medicine and its mission and goals through excellence of service, responsible operations, collaborative systems, shared resources, and effective fiscal management. It is comprised of numerous, semi-independent units and disciplines with varied and wide-ranging purposes and needs, but which are otherwise connected through a common service-oriented mission. The VHS exists to enable collective success achieved through effective collaboration and shared support across all of the individual units which include the Veterinary Teaching Hospital ( VHT ), the Veterinary Diagnostic Lab ( VDL ), and various other labs and service units within the College of Veterinary Medicine and Biomedical Sciences.

Position Summary
Lead Projects That Drive Veterinary Excellence: Join Us as a Project Manager!
Are you an organized innovator who thrives on turning ideas into action? The Veterinary Health System at Colorado State University is seeking a dynamic Project Manager to bring vision, structure, and efficiency to initiatives that support groundbreaking veterinary care.
In this role you will provide executive administrative support for the Veterinary Health System ( VHS ) leadership. Duties include managing project timelines and documentation, creating dashboards and reports, communicating progress with stakeholders, managing project budget, and providing administrative support for VHS initiatives and on behalf of the VHS , its Senior Associate Dean, its leadership, and the other, various units and personnel which the VHS is comprised of and/or interacts with.
Required Job Qualifications
Bachelor’s degree from an accredited institution.
Minimum of 3 years of experience managing complex projects involving cross-functional teams, schedules, and budgets, preferably within a healthcare, veterinary, or academic environment.
Experience in using project management systems such as Monday.com, Microsoft Project, or similar tools to manage project timelines, resources, and deliverables.
Experience managing project budgets, forecasting costs, and working with financial teams to ensure accurate reporting, invoicing, and revenue recognition
Experience with Microsoft 365, Adobe Creative Cloud, and other software for creating reports, dashboards, and presentations.
Preferred Job Qualifications
PMP (Project Management Professional), CAPM (Certified Associate in Project Management), or other recognized project management certifications.
Prior experience working in a healthcare, veterinary, or academic setting, understanding the unique challenges of managing projects in these environments.
Experience in managing and leading project teams, including coordinating team efforts, managing schedules, and ensuring accountability.
Strong background in developing budget proposals, financial forecasting, and managing the financial aspects of multi-year or multi-departmental projects.
Ability to work independently, demonstrate initiative, and adapt to changing project requirements or organizational goals.
Demonstrated ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines in a fast-paced environment.
Proven ability to communicate clearly and effectively with diverse stakeholders, including senior leadership, technical teams, and staff members at all levels.
Ability to identify risks, develop mitigation strategies, and resolve issues to keep projects on track.

Create and maintain detailed project charters with information around potential risks, assumptions, milestones, and deadlines.
Coordinate and manage individual teams that are dedicated to the planning and execution of initiatives across the Veterinary Health System in alignment with our current and future strategic planning.
Organize projects in project management systems to allow for easy tracking of progress and ensuring that projects have adequate resources to meet all requirements of the project.
Generate reports that highlight progress and achieved milestones to bring back to all stakeholders of the project including VHS leadership, the Executive Leadership Team, the VHS Subcommittees, and the wider community.
Exercise discretion and judgment to meet project objectives.
Manage complex schedules and timelines, cross-team relationships and communications, risk mitigation, etc.
Coordinate and lead routine check-in meetings with all teams to ensure that we remain on track for project deadlines.
Perform various project management tasks without established procedures by determining methods and procedures within project scope and parameters.

Create charts, visuals, and dashboards using available software (Monday.com, Microsoft 365, Adobe Creative Cloud) to communicate progress with stakeholders. These reports will be clear, concise, and easy to understand for those with varying levels of involvement in the project.
Manage and record complex meeting action/discovery items, prepare meeting agendas and disseminate project information.
Keep VHS leadership informed of the status of each project’s deliverables, schedules, quality and deficiencies.
Schedule check-ins for quarterly community reports on progress made within the past quarter and what milestones will be achieved by the next quarter. Avenues for these reports may be scheduled meetings, focused messaging from supervisors, or VHS Update communications.

Facilitate financial management of assigned contracts by procuring materials and equipment through the university purchasing system for all projects and general operations.
Prepare budget proposals and budget progress reports. Budget proposals will be brought to VHS leadership for feedback and approval.
Accurately forecast revenue, margins, bill rates and utilization.
Ensure that necessary departments across CSU are contacted and work alongside them as required by individual projects.
Manage project budgets and determine appropriate revenue recognition.
Ensure accurate invoicing, monitor receivables as well as deliverables.
