Description of Work Unit

Founded in 1870, Colorado State University is among the nation’s leading research universities and enrolls approximately 32,000 undergraduate, graduate, and professional students. CEMML is a research, education, and service unit within the Warner College of Natural Resources at CSU . CEMML applies the latest and most appropriate science to promote the sustainable management of natural and cultural resources on Department of Defense (DoD) and other public lands. We provide technical support, conduct applied research, and offer career development and learning opportunities to support resource stewardship. We collaborate with our sponsors and other CSU departments to resolve complex environmental issues, leaving a legacy of science-based decisions that sustain our resources for future generations.

CEMML is at the forefront of solving complex environmental problems for federal land managers for nearly 40 years and have earned a reputation for being responsive to customer needs and for providing quality products on time, in scope, and within budget.

CEMML manages 240+ projects and generates over $100 million dollars in awards annually, accounting for roughly one-fourth of CSU’s entire research budget. Our Fort Collins staff complements over 500 full-time and seasonal employees working at more than 75 DoD facilities around the world.

Work location is dependent on the needs of the partner/project/role. In some instances, positions may require staff to be fully in-person. In other instances, hybrid or remote arrangements may be possible.

This position can be performed from CEMML’s main office on CSU’s campus in Fort Collins, Colorado, or remotely. Nonetheless, the daily/weekly schedule for this position will require overlap with the PI’s schedule, which is Mon-Fri 0700-1600 MT.

Position Summary

A Project Administrator position is available with Colorado State University and the Center for Environmental Management of Military Lands ( CEMML ) in Fort Collins, CO. The Project Administrator will provide technical support for coordinating a diverse set of cultural and natural resources projects. The Project Administrator will support the Principal Investigators (PIs) in executing a wide variety of program- and project-related tasks, assist with hiring and administration, and support development of CEMML’s Early-career Development Program ( ECDP ).

The Project Administrator will join a hybrid team of interdisciplinary specialists that execute cultural and natural resource projects for military installations. This position will provide administrative support to the PIs and assist with (1) organizing and responding to emails; (2) scheduling; (3) reviewing budgets and forecasting; (4) developing training resources and presentations; (5) developing position descriptions and assisting with all facets of the hiring process; (6) creating standard operating procedures and technical guidance documents; and other project administration duties. These projects are often multi-year and involve complex schedules with numerous deadlines and deliverables.

Additionally, the Administrator will assist with all facets of hiring and onboarding for the ECDP . Tasks may include (1) organizing and reviewing applicants; (2) scheduling interviews; (3) coordinating with CSUs HR; (4) developing and administering onboarding; (5) tracking interns’ progress throughout their assignment and preparing progress reports; (6) speaking with clients about intern/program satisfaction; (7) preparing university-required internship documentation; and other duties related to ECDP administration.

The Project Administrator will support work related to a diversity of DoD projects, including workforce development through internships and mentoring, and natural and cultural resources planning. As such, the position will require excellent communication, organization, and creative problem-solving skills. The successful candidate will be high-performing and able to work on a variety of tasks while achieving quick turnaround and short deadlines.

Required Job Qualifications

  • Bachelor’s Degree in any discipline.

  • At least one year’s experience utilizing project management software (e.g. Asana, Microsoft Project, Smartsheet) to develop a project timeline, assign tasks, and/or monitor progress; and passion for seeking out creative solutions to technological and logistical challenges.

  • At least one year’s experience running effort allocation reports and/or preparing progress reports.

  • Has developed standard operating procedures, technical guides, or other training/onboarding materials.

  • Proficiency with Microsoft Office Suite, specifically Word and Excel, and Adobe Acrobat Pro.

  • Excellent writing skills and experience editing work for grammar, clarity, and consistent format.

  • Must have a valid driver’s license or the ability to obtain a driver’s license by the employment start date.

  • The successful candidate must be legally authorized to work in the U.S. by proposed start date; CEMML will not provide visa sponsorship for this position.

Preferred Job Qualifications

  • Current Project Administration or Project Management certification.

  • Professional experience with reviewing and/or organizing internship applications and pairing interns with opportunities.

  • Professional experience developing position/opportunity descriptions and assisting with all facets of the hiring process.

  • Professional experience defining project goals, establishing project objectives and timelines, and tracking project progress.

  • Experience reviewing budgets and budget forecasting.

  • Experience navigating complex employee-client relations and implementing novel strategies to address issues.
