Position Summary

A career in Project Administration will provide the opportunity to manage the administrative aspects of projects, including documentation, meeting coordination, budget tracking, and overall project support, ensuring that projects are completed on time and kept on budget. This typically also includes assisting the project manager with various tasks like communication, reporting, monitoring risks and assessing resources using various tools for internal projects.

Roles within Project Administration are providing various projects and project managers with support activities. The team is responsible for several large strategic and discretionary projects. This support role includes meeting administration, task tracking, documentation management and resource and budget management and reporting. This role will learn to use professional concepts and apply company policies and procedures to resolve routine issues. You will work on problems of limited scope and follow standard practices and procedures in analyzing situations or data from which answers can be readily obtained. Additionally, you will build stable working relationships internally. It is expected that your role applies basic skills to complete assigned work within own group/project team. You will receive detailed instructions on all work. Your role typically reports to Supervisors / Managers.

Essential Duties:

  • Project Documentation: Maintain project documentation including project plans, reports and updates ensure all relevant information is readily available.

  • Meeting Management: Schedule and coordinate project meetings, distributing agendas, taking minutes, and following up on action items.

  • Communication: Act as a communication hub, relay information between project team members.

  • Budget Tracking: Monitor project budget, identify potential cost overruns, and report financial status to the Project Manager.

  • Task Management: Assist in breaking down project goals into manageable tasks, assign tasks to team members, and track progress.

  • Risk Management: Assist in identifying potential project risks, develop mitigation strategies, and monitor effectiveness.

  • Reporting: Generate regular project status reports, including progress updates, key metrics and any issues that may arise.

  • Vendor Management: Assist Project Manager with coordinating timely deliver of vendor goods and services.

  • Quality Control: Ensure project deliverables meet quality standards.

  • Administrative support: Handle administrative tasks and prepare project presentations.

Required Skills:

  • Excellent organizational and time management skills

  • Strong communication and interpersonal skills

  • Attention to detail and accuracy.

  • Ability to prioritize tasks and manage multiple projects simultaneously.

  • Proficient in Microsoft Office Suite

Preferred Skills:

  • Understanding of project management methodologies

Qualifications

Required Background:

  • Bachelor’s degree with 0 years of relevant experience,

  • Equivalent work experience may be considered in lieu of degree.

Compensation Range:

$47,250 - 75,600

We are committed to pay transparency and ensuring equitability compensation for all employees. The pay range for this position reflects the base salary only and does not include benefits, bonuses, or other forms of compensation that might be part of the total compensation package. The specific salary offered will be based on a candidate’s qualifications, education, and experience.
