Position Summary

The Business Support Specialist will provide administrative support for daily, weekly and monthly plant or office duties. The Business Support Specialist will be organized, dependable and have strong attention to detail. The Specialist will support one or more of the following areas based on the needs of the plant: Office Support and Customer Service, Marketing, Safety and Human Resources, Planning, Production and Materials, or Purchasing and Finance.

Duties and Responsibilities

Office Support and Customer Service

  • Completing routine office tasks including distributing mail and deliveries, answering main phone line and routing calls, monitor office supplies and equipment servicing, and assisting in event coordination.

  • Assist with Order Entry, as needed.

Marketing

  • Assist in managing and maintaining social media accounts and website, including blog posts, by connecting with the plants to post industry-related images and content.

  • Work with Marketing and Sales at Central Office to supply promotional items and marketing materials.

  • Manage the OMS Brand, including maintenance of the company presentation.

Safety and Human Resources

  • Engage in the hiring process, including scheduling interviews and conducting math tests.

  • Support the new employee process, including scheduling orientation and ongoing follow-ups.

  • Support the Safety Program, as required, including management of Steel Boards, Near Miss and MyCI Programs, purchasing safety supplies and PPE, and scheduling weekly or monthly safety meetings.

  • Write, update and/or distribute the location newsletter.

  • Manage UltiPro and Cornerstone, including updating records, posting requisitions and uploading files.

Planning, Production and Materials

  • Update Secondary and Production Schedules, as needed.

  • Update job status in Epicor, including releasing, closing or cancelling jobs.

  • Complete routine tasks including printing travelers, blueprints or cycle counts, running reports from Epicor, entering cycle counts, filing completed job travelers, scheduling truck deliveries, scanning shipping papers, scheduling scrap pick-up and coordinate scrap billing.

Purchasing and Finance

  • Assist in purchasing consumables and other plant supplies.

  • Manage the Plant Purchasing Card.

  • Complete routine tasks including issuing purchase order numbers, coding invoices, indexing daily receipts, signing for vendor services, processing Return Authorizations and submitting new vendor requests.

    Skills and Qualifications

  • 3-5 years of applicable experience, required.

  • Proficiency in Microsoft Excel, Word, Outlook and PowerPoint.

  • Strong analytical and organizational skills and attention to detail.

  • Strong customer-focused communication skills.

  • Associates or Bachelor’s degree, preferred. High school diploma or equivalent, required.

  • Responsibilities may require proficiency in Adobe InDesign/Photoshop/Illustrator.
