Job Description:
DIVISION: Academic
DEPARTMENT: Egan School of Nursing
BASIC FUNCTION: Provides administrative support to the Associate Dean and Assistant Dean for Graduate Studies, and graduate program faculty. Organizes and communicates information to graduate students for all aspects of admission, registration, schedules and classes. Creates and maintains databases to track graduate students. Performs office-related operational functions, and assists in special projects related to the Graduate Program.

EDUCATION: High School Diploma with some college or equivalent related experience.
EXPERIENCE: 5+ years related office experience. Excellent communication, organizational and interpersonal skills. Computer expertise in various software programs.
REPORTS TO: Associate Dean of Graduate Studies
ESSENTIAL FUNCTIONS:
Provides administrative assistance to Associate Dean for Graduate Studies, Assistant Dean for Graduate Studies Graduate Program Directors, Graduate Program faculty and students.
Serves the principal resources for inquiries regarding the Graduate Program tracks
Serves as liaison to the Office of Graduate Admission, Registrar’s Office, Bursar’s Office, and Financial Aid
Assists with and participates in Graduate Program orientations and graduation activities.
Coordinates the operational aspects of the Graduate Nursing Program admission
process under the direction of the Associate Dean of Graduate Studies and Graduate Program Directors as applications packets are forwarded processed from the Office of Graduate Admission; tracking applications through the process to facilitate timely admission decision
Enters applicant and maintenance information into the Slate and Banner system
Assists adjunct faculty with course-related needs (media/library requests, room requests, catering needs)
Processes correspondence for the Graduate Program
Maintains graduate student files; compiling data on graduate students for School of
Nursing and for requested academic surveys (enrollment status, credits completed, GPA,
etc.), and tracking students’ progress through the program
Creates/maintains email distribution lists for current graduate nursing students
Assists with the preparation of materials for accreditation of the Graduate Program.
Records monthly minutes at Graduate Curriculum Committee
Assists with the preparation of Graduate Assistantships from applications, letter assignments to students, and forms to HR and the Bursar’s office
Collects and maintains archives of graduate course syllabi
Maintains master copies of graduate program curriculum tracking sheets
Runs degree evaluations and maintains the updating of grades on curriculum track sheets in all graduate student files
Works with Program Directors and Graduate Admissions on program sheet
Updates both the website and catalog for graduate programs edits/changes/additions
Runs incomplete reports for incomplete grades each semester and assist with academic probation letters
Monitors all new incoming graduate students to be sure they are compliant with getting a background Check, Drug Screen and pass the Academic Integrity Video training Orders anesthesia students equipment and graduate award plaques
Tracks the progress of all graduate nursing students, by program track concentration in Banner and Access Excel databases
Coordinates graduate and capstone preceptor benefits program
Provides administrative support for required graduation materials
Prepares and processes all forms, letters, requests for transcripts, etc., for American Nurses Credentialing Center (ANCC) and the State of Connecticut for Advanced Practice Registered Nurse (APRN) certification and maintaining Pharmacology/Psychopharmacology course attendance records required for APRNs
Coordinates list of graduate applicants for Registrar including honor society designation
Distributes evaluation materials
Performs office-related operational functions
Assists with office record keeping and filing systems
Serves as a resource for inquiries about all Egan School academic programs
Serves in a support capacity for faculty with tests for students outside the classroom
Assists with mail distribution to appropriate faculty members
Helps maintain office equipment and repair
Processes weekly time sheets for the Egan School work study students that work in the graduate program
Participates in the professional development of the department
Promotes an image of efficiency and courtesy throughout the University Community consistent with the Department’s mission
Acts as a responsible committee representative as requested
Promotes safe and secure working conditions
Promotes the proper utilization of equipment and materials
Notifies supervisor immediately of any unsafe conditions
Performs other related duties as assigned
