Robert Half is seeking Executive Assistants to support the executive teams for our clients in the Eugene area. Our clients are seeking accomplished and talented Executive Assistants who want to play a vital role with the organization. The ideal Executive Assistant will have strong organizational skills, the ability to take initiative, be able to prioritize tasks independently, and have a ‘service-oriented’ demeanor. The Executive Assistant will retain an organized presence and apply their strong communication skills to effectively manage upwardly to members of senior management, while fostering successful relationships through direct interaction with peers and clients. The Executive Assistant will be responsible for keeping the executives on track for meetings and travel, and will be optimizing executive's time by reading, researching, and routing correspondence. Must be extremely detailed-oriented and proactive. The Executive Assistant will have prior administrative support experience, be detail-oriented, possess strong communication (both oral and written), with proficiency in Microsoft Office (Word, Excel, and Outlook), and the ability to anticipate needs proactively.

Job Responsibilities:

  • Facilitate seamless administrative support for executives, encompassing calendar management, meeting coordination, and correspondence handling.

  • Arrange intricate travel plans, including accommodations and itineraries, for executives.

  • Craft, format, and proofread documents, presentations, and reports tailored for meetings and events.

  • Ensure discreet handling of confidential information and execute executive-level communications with sensitivity.

  • Serve as a conduit between executives and internal/external stakeholders, spanning clients, partners, and team members.

  • Efficiently triage incoming requests, emails, and calls, prioritizing as needed.

  • Supervise special projects delegated by executives, ensuring their punctual completion.

  • Conduct comprehensive research and collate data to underpin decision-making endeavors.

  • Monitor financial reports, budgets, and expenses as required.

  • Assist in orchestrating company events, conferences, and board meetings.

    Requirements

  • Documented experience as an executive assistant or in a parallel capacity.

  • Proficiency in organizational and time-management skills, adept at managing concurrent responsibilities.

  • Exceptional written and verbal communication skills, with a sharp focus on detail.

  • Adeptness in the Microsoft Office suite, particularly Outlook for scheduling.

  • Exhibit finesse in handling sensitive information, ensuring confidentiality.

  • Unwavering commitment to precision and accuracy in all tasks.

  • Display autonomy, initiative, and the capacity to predict needs.

  • Proficient in troubleshooting and adaptable to shifting priorities.

  • Possess an amiable disposition and outstanding interpersonal aptitude.
