Universal Metal Systems Part Time Office Administrative Assistant in Erie, Pennsylvania
We are currently looking for a part time office assistant for a fast growing sheet metal fabricator. The office assistant will be responsible for performing administrative tasks to support daily business operations, including answering phone calls, managing schedules, organizing files, greeting visitors, and maintaining office supplies, essentially acting as the first point of contact for clients and ensuring the smooth running of the office environment; requiring strong communication skills and proficiency in Microsoft Office Suite.
Key responsibilities include:
- File management: Maintaining filing systems, organizing documents, data entry
- Mail handling: Sorting and distributing incoming mail, preparing outgoing mail
- Office supplies: Ordering and maintaining inventory of office supplies
- Administrative support: Preparing documents, copying, faxing, scanning
- Basic data entry: Updating spreadsheets and databases
- Communication: Communicating with clients, staff, and vendors via phone and email
- Reception duties: Answering phone calls, directing calls to appropriate staff, taking messages, greeting visitors
- Calendar management: Scheduling meetings and appointments, sending meeting invites
Required Qualifications:
- High School diploma or GED
- 1 year of recepionist or assistant experience (preferred)
- Excellent verbal and written communication skills
- Strong organizational and time management skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Attention to detail
- Ability to multitask and prioritize tasks
- Professional demeanor and positive attitude
- Ability to work in manufacturing based atmosphere
- Proficiency in Sage 50 Accounting (preferred)
Work Hours and Benefits:
- Hours: 24-30 per week (morning)
- Starting Wage: $14-$18 per hour depending on experience and availability
