CENTRAL UTAH COUNSELING CENTER Office Manager in EPHRAIM, Utah

TITLE: OFFICE MANAGER

 

DEPARTMENT: Central Utah Counseling Center

 

GOALS: Perform complex secretarial and routine administrative duties 

requiring moderate exercise of independent judgment.

 

PAY SCALE: $17.00-$20.00 DOE

 

DUTIES:

  1. Take dictation of correspondence at staff meetings and transcribe notes or recordings from a dictaphone machine.

  2. Assists clients in completing intake information. Compile intake information and make client charts.

  3. Receipt client payments and submit cash sheets to the business manager.

  4. Receive, screen, route and process telephone calls and personal visitors and clients to appropriate individuals; schedule appointments for testing, evaluations and therapy sessions.

  5. Maintain medical records on clients including documentation of patient's medication, treatment and progress.

  6. Supplies general information and explains departmental policies and procedures to callers; completes intake forms including applicants income and assesses client fees.

  7. Performs a variety of clerical duties including answering telephones, copying documents, filing, typing, delivering mail to post office and taking confidential dictation.

  8. May transport harmless patients or ride with specialists in transporting patients if needed.

  9. Performs related duties as required.

     

MINIMUM QUALIFICATIONS:

  1. Graduation from high school with course work in general office practices and secretarial duties AND

    1. Two (2) years of progressively responsible clerical or office experience OR

    2. Any equivalent combination of education and experience

  2. Necessary knowledge skills and abilities: working knowledge of business English, math, spelling, punctuation, vocabulary and filing; working knowledge of office methods and techniques; some knowledge of bookkeeping and accounting methods as required by this position.

  3. Ability to perform a variety of secretarial and routine administrative work requiring considerable exercise of independent judgment; ability to communicate effectively, verbally and in writing; ability to establish and maintain effective working relationships with employees, other agencies and the public; ability to obtain confidential information from mental health service applicants; ability to type accurately from copy at the rate of 60 wpm.
