SUMMARY

Provides comprehensive, professional legal assistant services in civil matters and proceedings; performs secretarial, and office duties to support the functions of the Prosecuting Attorneys Office, assists the elected Prosecuting Attorney in performing all of the statutory and constitutional functions of the Office; performs related work as required.

Classification Summary

This is a legal support position requiring specific knowledge of legal documentation and terminology with emphasis on governmental representation and civil litigation. Duties vary with job assignment and may include receiving,

logging, opening files, and processing and timely responding to requests for legal advice; typing and preparing letters and legal documents using various software applications in a paperless environment; entering data into

County, Department, and court systems and applications; keeping case records, logs, ledgers, dockets, and schedules; and working within Department-specific processes and procedures. This position requires a high level of initiative and the ability to complete required tasks with minimal direct supervision. Employees are assigned specific ongoing work assignments; this is a fast-paced job processing time-sensitive documents. The principal duties of this class are performed in a general office environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES Works closely with supervisors and attorneys to ensure case needs are met correctly, accurately and on

schedule; Receipts, logs and tracks request for legal advice and distribution of legal memoranda; Drafts/develops and finalizes legal documents for attorney review (e.g. requests for legal advice, legal

memoranda, post-conviction, child protection, judicial review, and misc. civil matters) before they are filed with the court and/or forwarded to clients/counsel;

Maintains physical files, both paper and electronic, including requests for legal advice, responses, pleadings and other internal documents;

Responsible for receipt, organizing and processing a broad range of documentation and media related to the civil caseload, including responsibility to ensure all materials are properly reviewed, redacted as required and processed for release;

Ensures that in-house data and case management systems are up to date, accurate and match court database

and calendars; Provides support for assigned deputy/prosecuting attorney by transcription and development of correspondence,

memoranda, file notes, etc.; Initiates follow-up telephone calls as needed or appropriate. Handles external inquiries or directs those inquiries

on a variety of issues, including those of a complex nature, for purposes of coordinating, resolving, or otherwise addressing issues regarding Prosecuting Attorney Office activities. This includes contacts within the office as well as substantial communications with members of the public, law enforcement agencies, court personnel, other county departments and county boards and commissions;

Reviews and analyzes priorities and timelines within applicable statutes and court rules to assist the

prosecutor/deputy prosecutor in managing caseloads and services; Cross trains with legal assistants nd covers basic office tasks, preparation of criminal documents, update and

work within the electronic case management system to assist with calendaring, discovery preparation, and tasks related to criminal legal assistance;

Interacts with law enforcement officers and agencies, attorneys, victims and witnesses regarding all aspects of criminal cases including warrants, arraignments, sentencing, discovery or other information;

Maintains calendar for assigned deputy/prosecuting attorney including scheduling court appearances, meetings, etc.;

Ensures that all incoming reports and evidence are filed in the appropriate case files; updates and reorganizes

files as needed; Implements and maintains attorney and individual reminders to ensure daily work schedule is met; Maintains confidentiality and ensures complete compliance with office confidentiality policies; Ensures compliance with mandated ILETS/NCIC information security requirements to avoid exposure to
