PRIMARY FUNCTIONS Assist in all day-to-day operational activities which includes a variety of clerical, computer, and selected direct client/contractor activities to ensure smooth program service delivery. This will include administrative duties for the WCMCA, Inc. Energy Related Repair (ERR) and Weatherization programs. Coordinate the Energy Related Repair program. REPORTING TO THIS POSITION ARE: None ESSENTIAL FUNCTIONS Client Activities Provide information to clients/contractors about Weatherization, Energy Related Repair (ERR), Conservation Improvement Programs (CIP), Energy Assistance Program (EAP), and other services offered through West Central as requested and make referrals where appropriate. Program Activities Review Eligibility for Energy Related Repair Program. Receive, review and award jobs for all Energy Related Repair Programs. Facilitate and complete annual proposals for set pricing regarding weatherization materials, mechanical systems, appliances, etc. Follow proper procurement processes for the award of jobs for the Energy Related Repair Program. Award, prepare, and mail work order packages contractors. Accountable for the set-up and maintenance of mechanical contractor per State Minnesota, Department of Energy, and other funding source requirements. Assist with review and approval of Manual J Calculations submitted by HVAC Contractors. Set-up and maintain well-documented client files and assist with file review for completeness. Complete data entry and job awarding utilizing various computer programs and software. Prepare necessary paperwork for job awards. Update and Maintain Energy Related Repair Spreadsheets. Prepare and mail communication to clients for Energy Related Repair Programs. Perform clerical tasks as required by the department including typing, word processing, copying, faxing, running forms and mailings. Perform final review and lockdown of Weatherization, Energy Related Repair and CIP files according to guidelines and perform Weatherization upload monthly to state office. Fiscal Activities Receive, review and pay invoices for Energy Related Repair (ERR) Program. Prepare and process payables for Weatherization, CIP, and ERR Programs. Other Keep immediate supervisor informed of all problems, unusual or extraordinary matters of significance coming to his/her attention, so that prompt corrective action can be taken as needed. Perform other duties as assigned by supervisor.
