We are currently seeking an organized and detail-oriented Administrative Specialist to coordinate all communications between the agency, clients, and visitors. Job Summary: The Administrative Specialist plays a crucial role in ensuring smooth communication between the agency and visitors, whether over the phone or on-site. You will provide general information to clients and internal employees while performing a variety of clerical and administrative tasks to support our team. Key Responsibilities: * Answer, transfer, and place calls and emails, maintaining detailed communication logs. * Welcome and direct visitors and clients. * Assist the Scheduler in organizing caregivers' shifts daily. * Respond to inquiries from clients, prospective clients, vendors, applicants, and caregivers. * Handle and organize all incoming and outgoing mail and packages. * Provide general information and forms to visitors and ensure completed forms are forwarded appropriately. * Provide clerical support to the Recruiter by managing applicant leads. * Train new employees on caregiving techniques. * Travel to client locations to assist with caregiver introductions, supply deliveries, and obtain field documentation as required. * Maintain and update caregiver files to ensure documentation accuracy. * Act as a liaison for client updates, issues, and progress. * Comply with safety and infection control protocols. Qualifications: * Education: A high school diploma or GED is preferred. * Experience: A minimum of three years of caregiving experience is preferred. * Bilingual in English and Spanish Skills: * Strong communication skills, both written and verbal. * Proficiency in Microsoft Office and other general computer skills. * Ability to apply basic mathematical concepts. * Valid driver's license and willingness to travel (up to 50% of the time). Certifications: CNA certification and EMT training are preferred but not required.
