The Information Technology (IT) Portfolio Manager ensures that all projects / programs within their assigned responsible area(s) deliver to desirable outcomes within the Hackensack Meridian Health (HMH) network. Provides guidance regarding potential project initiatives with high value or strategic linkage to leadership and governance bodies in ways that promote the company's culture. Oversees team members (TMs) of different disciplines to produce results in alignment with the respective responsible area(s) and overall IT Division. Manages multiple concurrent projects and interfaces with senior level IT and operational managers. Also responsible for developing efficient strategies and tactics to oversee the success of all projects within the responsible area(s). Supports the IT Project/Portfolio Management Office (PMO) Director in establishing direction for the PMO by creating and maintaining practice guidelines and standard operating procedures. Responsible for mentoring new Project Managers.

Responsibilities

A day in the life of a Information Technology (IT) Portfolio Manager at Hackensack Meridian Health includes:

  • Formulate, organize and monitor inter-connected projects.

  • Work with IT Leadership to develop, organize and execute on strategy(ies) within responsible area(s).

  • Recommend suitable strategies with clear objectives and creative solutions for assigned portfolio areas.

  • Coordinate cross-project activities.

  • Develop and control portfolio deadlines and activities.

  • Assist in the oversight of financial objectives for projects by forecasting requirements; overseeing project budget; scheduling expenditures; analyzing variances; initiating corrective actions.

  • Collaborate with IT Leadership and work to control portfolio budgets through project execution.

  • Lead project managers and other assigned project team members to accomplish portfolio outcomes.

  • Maintain organizational standards of satisfaction, quality, and performance.

  • Apply change, risk and resource management principles.

  • Assess portfolio performance and aim to maximize ROI; identify areas for improvement.

  • Resolve higher impact or more complex project scope issues.

  • Analyze systematic problems or issues to resolve in a timely manner; Seeks additional and/or professional assistance when all efforts have been exhausted.

  • Prepare portfolio/project reports, including status updates, for IT Leadership and Governance bodies in compliance with established PMO guidelines.

  • Work closely with project sponsor, cross-functional teams, and assigned project managers to plan and develop scope, deliverables, required resources, work plan, budget, and timing for new initiatives.

  • Work with other portfolio managers to identify risks and opportunities across multiple projects within the Division.

  • Monitors work of project managers and team members, including both internal and external resources as outlined within the Project Charter and external resource contractual obligations.

  • Work closely with IT PMO Director and Portfolio Business Sponsor(s) as appropriate to address any scope changes or other reportable events for each assigned portfolio/project.

  • Provide coverage as necessary for IT PMO Director or project managers within the PMO.

  • Supports periodic review and refinement of PMO guidelines and standard operating procedures with the IT PMO Director.

  • Contributes to Project Manager onboarding/training materials.

  • Works collaboratively with other team members to achieve group goals.

  • Understands competing priorities, effectively manages simultaneously occurring projects or tasks and adapt to the dynamic needs of the organization.

  • Other duties and/or projects as assigned.

  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required :

  • Bachelor's Degree in Project Management, Computer Information Science/Computer Science, Business, Management Information Systems, Healthcare Informatics, Health Information Management or other relevant field; or equivalent relevant experience may be accepted in lieu of a degree.

  • Minimum 5+ years of relevant IT project/program/portfolio management experience.

  • Demonstrated leadership skills and sensitivity to organizational politics.

  • Excellent problem-solving abilities.

  • Excels in interpersonal skills.

  • Thorough understanding of project/portfolio management techniques and methods.

  • Ability to communicate complex technical information in an easy-to-understand way.

  • Excellent written and verbal communication skills.

  • Ability to effectively present information in one-on-one, small group and C-suite level situations.

  • Ability to respond to questions from managers, customers, and other employees of the organization.

  • Ability to write reports, business correspondence, and procedure manuals.

  • Ability to define problems, collect data, establish facts, and draw valid conclusions.

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Education, Knowledge, Skills and Abilities Preferred :

  • Knowledge and ability to effectively utilize project/portfolio management tools and Microsoft Office and/or Google Workplace tools (Docs, Sheets, Slides, Forms, etc.).

  • Specialized knowledge of the best practices for project/portfolio management and familiarity with related technologies.

  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or government regulations.

  • Ability to compute rate, ratio, and percent and to draw and interpret charts and graphs.

  • Experience in a multi-hospital health system industry.

Licenses and Certifications Preferred :

  • Project Management Professional (PMP) or equivalent certification.

  • Portfolio Management Professional (PfMP) or Program Management Professional (PgMP) certification.
