Maritz Meeting Event Coordinator in East Hanover, New Jersey

This role supports the HCP Team for an assigned client (including but not limited to Meeting Event Managers (MEMs), Compliance Specialist, Contracting Specialist, Operations Manager, and Director) for assigned program deliverables. On a project basis, this role will work in various in proprietary software, creates and updates various documentation, and adheres closely to project timeline. Flexibility, attention to detail, problem-solving abilities, and multitasking skills are essential.

Scope

The scope of this position is dependent upon assigned account/programs. Will vary from client to client and program to program.

No direct reports.

No budgetary responsibility. 

Reporting and Working Relationships

Reports to Director or Manager of Operati ons. Working relationships with MEMs and internal departments including but not limited to Creative, Technology, Sourcing, and internal and external clients and vendors.

Primary Responsibilities

70%

Creates SOWs, opens Purchase Orders, and creates deposit schedules for assigned programming. Builds registration websites in Cvent. Performs quality control check on websites prior to going live.  Creates and maintains documents, spreadsheets, and trackers for assigned programs as needed. Submits Travel Director request submissions. Manages HCP and Patient travel requests. May manage small events on own.

Responsible for scheduling and managing program mailings assuring all pieces are ready. Produces name badges, labels and tent cards.  Orders and verifies program supplies.  Ships program materials including travel director packets and forwards tracking information to MEM. Manages administration of documents and SOP's for access to team.  Assist with on-boarding of new employees as requested.

Manages the creation of custom forms per program, i.e. sign-in sheets, breakout schedules, etc. Maintains accurate records, data input, and complete file management.  Actively contributes to improve inter-departmental processes, systems and communications.

Qualifications

  1. Bachelor degree or 2 years of equivalent business experience required. Hospitality-related degree a plus.

  2. 6 to 12 months of previous event coordination or administration experience desired.

  3. Proven organizational skills.

  4. Ability to handle multiple demands.

  5. Excellent computer skills, knowledge of Microsoft Office tools, Cvent & ability to learn new technology quickly.

  6. Strong interpersonal communication & customer service skills.

  7. Must co-locate 2 days/week on clients campus in East Hanover, NJ
