Position Overview

Primary Function of Organizational Unit

The Department of Theatre and Dance, located within the College of Arts, Social Sciences, and Humanities, is a program involving the study and performance of theatrical works, dance, and related performance arts materials. Its purpose is to provide a stimulating academic and artistic environment, which advocates the pursuit, acquisition and practical application of knowledge and skills emphasizing the interdependence of theatre with the culturally diverse world of ideas and actions. It offers five concentration including theatre education and dance education. lt currently has three full-time-faculty members, one fixed term faculty member, one art production specialist, and one full-time secretary. With a rigorous curriculum, the unit produces two main stage productions and a dance recital each semester and a number of studio and lab productions in additional to participating in several theatre festivals and competitions.

Primary Purpose of Position

The position is responsible for a variety of professional, technical, financial, and administrative support duties in the Department of Theatre and Dance. More specifically, the position is responsible for office, budget, calendar, box office, facility, production, and data management while providing administrative support to the chairperson and faculty. Additional administrative aspects include purchasing, budgeting, and coordinating public relations of theatrical productions and events as well as providing administration support for departmental reports, travel authorizations, weekly meetings (accompanying minutes). The technological aspect involves the maintenance, operation, and inventory of office and theatrical equipment. Additionally, this position serves as an internal/external liaison between department and faculty/students/university administration/community. The position requires the ability to learn and possess thorough knowledge of artistic concepts, departmental functions, and university policies and procedures.

Required Knowledge, Skills, and Abilities

The successful candidate must possess a working knowledge of Student Banner or an equivalent system; knowledge of Microsoft Office Suite (Microsoft Word, Excel and PowerPoint) and Adobe Applications; knowledge of retention issues and strategies pertaining to participants and of post-secondary institutional and community resources; knowledge of budget and office management; knowledge of assessing and evaluating programs; knowledge of writing reports; knowledge of planning special events and meetings; ability to work with minority students; ability to work independently with little or no supervision; to take initiative to see projects and assignments through to completion; to learn, interpret and analyze information to make necessary decisions; to exercise judgment and discretion in problem solving; to plan, prioritize and organize workflow; ability to work flexible schedules; excellent analytical and organizational skills along with written and oral communication skills, excellent editing skills; great interpersonal skills to interact effectively and diplomatically with a wide range of individuals in a high pressure environment.

Duties

The person in this position will display proficient written communication skills through consistent written correspondences to the public; theatre students, alumni, and patrons; the departmental staff & faculty; and university employees at large. Efficient written communication is needed in planning projects, composition of the minutes; production advertisement, reports, and record keeping.

Duties

The person in this position will perform administrative tasks that keep the office running efficiently day-to-day. Specific tasks include maintaining office equipment and supplies; taking office inventory; and the use of word processing and other relevant computer applications needed for travel arrangements, budgeting, traveling, reports, playbills, and posters.

Required Competency Work Coordination

Duties

The person in this position will attend to several activities simultaneously which includes prioritizing and switching priorities when dealing with obstacles, interruptions, or unexpected urgencies. Work coordination requires one to synthesize office management, reporting, data gathering and maintenance, budgeting, planning, and scheduling.

Required Competency Problem Solving

Duties

Duties associated with problem-solving include evaluating the issue at hand; identifying the people involved; staying current on university procedures; identifying and implementing a solution; and employing a plan of prevention.

Required Competency Knowledge - Program

Duties

The person in this position must be knowledgeable of the overall scope of the program including the mission and goals, courses, faculty and staff, majors, budget information, season, public relations. and production operations. Additionally, this office administrator must be knowledgeable of specific plays and programs occurring within the department.

Required Competency Information/Records Administration

Duties

Information and record management for this position include maintaining financial records, data for accreditation, weekly departmental meetings, the student handbook, programs learning outcomes and students learning outcomes, class schedules, curricula, productions, student, faculty, and staff records, public relations information, and equipment inventory.

Required Competency Budgeting

Duties

The duties of budgeting include the execution of all budget submissions; maintaining budgeting policies and procedures; and monitoring the budget transactions, records, and balances.
