Project Administrator Job Summary: The Industrial Administrator will work with the Industrial team to coordinate and facilitate the onboarding hiring process, including confidential regulatory and personnel paperwork; electronic and hard copy documents, database updating and maintenance. Assists Industrial department and staff with administrative duties including purchase orders, reporting and invoicing.

What you will do as a Project Administrator

Online Onboarding

  • Work with union dispatchers to acquire necessary information to set up profiles within the online onboarding system.

  • Monitor progress of individuals and follow-up with them to get information completed in a timely manner to support hire-in dates

  • Coach craft individuals on navigating online onboarding systems.

  • Review documentation to the system to ensure their hire-in forms are properly completed.

  • Organize documentation and provide accounting for file storage and entry into accounting system.

  • About Time Administration

    Purchasing Support

  • Assist Superintendent and Field Engineers with issuing purchase orders upon request, including complete full purchase process and requisition forms for project specifics as requested.

  • Order business supplies, arrange rentals, travel and hotel as needed.

  • Purchase order reconciliation, including continuations and close out.

    Business Support

  • Customer Reporting – Month End reporting, job status updates

  • Safety Policy Administration – Prequals, 3rd party portal (ISNET, First Verify, BROWZ, etc.), safety training record retention, safety form updates, NMA site extensions, HPP permits.

  • Field Leader Support – Set-up jobs and phase codes and estimating support as needed.

  • Run cost tracking reporting for PM and Customers

  • Rectify time against invoicing.

  • Assist with estimating, billing rates, reconciliation of customer invoicing, invoice approvals and back-up support for Billing department as needed.

  • Actively participate in programs and initiatives designed to enhance the overall good of the company, including sister company support as needed.

  • Site extension and owner /contractor extension requests, and reporting.

  • Other duties as assigned.

    Experience/Education Requirements

  • Two years’ experience in a fast-paced, complex administrative role, with a high degree of accountability to details and deadlines.

  • Construction industry experience, and experience with trade/union hiring, is preferred.

  • Strong interpersonal skills and demonstrated persistence to professionally coordinate onboarding process for multiple team members .

  • Proficient with all Microsoft Suite programs (Teams, Outlook, Excel, Word, PowerPoint, OneNote, SharePoint). Microsoft Smart Sheet and/or Power BI experience is preferred.

  • Ability to work with and maintain confidential data and information.

  • Must have a valid state driver’s license with an acceptable driving record and ability to travel to work sites / office locations as needed

    Hours and Travel

  • Includes 25% regional jobsite travel and Duluth office location.

  • Schedule regular 40 hours a week, seasonally (spring and fall) longer shifts and weekend needed for prestart project preparedness.
