Position: 10-month Administrative Assistant - Counseling Locations: Downingtown High School West Pay Rate: $19.63 per hour Schedule: 7 hours per day, 5 days per week, 210 days per year (10-months) Benefit Eligible: Yes Effective Date: December 16, 2024
Job Summary: Assists counselors in providing general information to students and parents pertaining to the counseling department and to the college and career process. Facilitates the general operation of the counseling department.
Qualifications: To successfully perform this position, a person must be able to perform each primary duty satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training, skills and/or ability necessary.
- High school diploma.
- Proficiency in the use of technology for individual and system management, communication, and research.
- Effective interpersonal skills with the ability to diplomatically interface with students, parents, teachers, staff, college representatives, and employers required.
- Good typing skills required.
- Experience operating office equipment, performing clerical tasks, and maintaining files and records required.
- Must successfully complete and maintain compliance with all federal and state background and criminal record check requirements.
- Candidate must adhere to all local, state, federal, and school code requirements for employment.

- Provides administrative support, sorts all mail, files, copies, calls/locates students for guidance counselors and Special Education Department, answers incoming phone calls, and records and forwards accurate messages
- Greets students, parents, faculty, and visitors who come to the Guidance Department.
- Comforts students who are upset and refers them to the appropriate counselor.
- Assists students and parents in utilizing services within the Guidance Department (phone calls, copies, inquiries, transcripts, schedules, enrollments, transfers, and withdrawals).
- Schedules appointments for students, parents, counselors, and school psychologist.
- Maintains both the copy and fax machines in proper working order.
- Schedules and administers correspondence test for students.
- Maintains database for students who are hospitalized or enrolled in special programs.
- Provides grades, discipline records, attendance records, and mail report cards to Juvenile Probation Officer (JPO) and Young Parents Program.
- Coordinates appropriate military forms.
- Adheres grade/credit label to each student's cumulative file.
- Assists counselors with course selection and Graduation Project materials.
- Maintains transcript maintenance file.
- Processes, prepares, updates, and documents transcript requests, including letters of recommendation, from current junior and senior students, colleges, National Collegiate Athletic Association (NCAA), college coaches, and alumni students.
- Prepares and processes Permission to Evaluate (PTE) forms and Notice of Recommended Educational Placement (NOREP) for special education students. Forwards Evaluation Report (ER) to Special Education Department for Individualized Education Program (IEP) meeting.
- Prepares and coordinates appropriate materials for two summer orientations of new students.
- Creates and maintains position procedure outline to describe day to day duties of the position/department as needed.
