Essential functions (job duties):

Provide operational management of academic personnel administration for the College of Fine, Performing and Communication Arts. Partner with Dean, Associate Deans, Department Chairs and faculty to ensure alignment with Wayne State University’s and the College’s mission, policies and procedures, collective bargaining agreements, and state and federal regulations. This position reports to the Associate Dean, College of Fine, Performing & Communication Arts and dotted line to Director of Business Affairs, College of Fine, Performing & Communication Arts.

Direct and oversee the College’s academic and nonacademic personnel HR transactions. Review and approve academic and nonacademic personnel transactions, ensuring accuracy, timeliness, and compliance.

Manage academic personnel activities, procedures, projects, and initiatives, such as chair and academic program reviews, program assessments, academic appointment and renewal/non-renewal processes, annual reviews for contract employees, faculty awards, course buyouts, faculty workloads, additional service assignments, graduate assistant assignments and renewals. Assist business manager in maintaining position control and roster reconciliations. Manage and monitor time off issues for academic employees.

Manage application of semester-based part-time Faculty hire and renewal processes, handling communications and formal notices, promotions, performance, and merit reviews. Maintain Part Time Faculty teaching history, course pools, and prepare annual and incidental reports.

Oversee faculty and academic staff processes and activities, such as committees, ad hoc teams, and task forces, administering elections, nominations, communications, promotion and tenure procedures, selective salary process, replacing committee members. Ensure that all committee activities adhere to College bylaws, union contracts and WSU policies and procedures.

Serve as primary information resource to College of Fine, Performing and Communication Arts faculty and staff. Answer questions, provide information and resolve problems regarding academic operations and services. Act as liaison with Wayne State University campus community and external groups and organizations to obtain and exchange information.

Collect, compile, and analyze data. Prepare reports and provide recommendations for potential solutions to academic administrative problems.

Manage and engage in academic special projects and studies, such as tenure/Employee Security Status track search and recruitment initiatives.

Review and approve all personnel components (wage, fringe, etc.) of College of Fine, Performing and Communication arts grant proposals and related budgets. Respond to the College’s research email account. Monitor grant-funded academic personnel transactions in the College.

Perform other related duties as assigned.

Qualifications:

Education: Bachelor's degree

Bachelor’s Degree in Business, Management, Human Resources or a related field from an accredited college or university. Candidates with an equivalent combination of education may be considered.

Experience: Expert (established subject matter expert, 7+ years experience)

Minimum 7 or more years’ experience in academic administration with responsibility for academic human resources administration and working knowledge of University policies.

KNOWLEDGE, SKILLS, AND ABILITIES

Understanding of organizational structure, mission, and objectives. Extensive knowledge of University academic policies and procedures, as well as academic collective bargaining agreements. Looks for ways to improve processes and quality while maintaining compliance.

Ability to identify and resolve complex and unusual problems or discrepancies. Analyze, review, and verify accuracy of data and information. Able to work collaboratively with others to resolve and correct issues. Perform work tasks with diplomacy and close attention to detail.

Ability to manage multiple projects, develop and implement realistic and strategic action plans, meet strict deadlines, and use good judgment. Ability to cope effectively with a fast-paced environment in which changes and delays are common.

Ability to exercise a high degree of initiative, judgment, discretion, and decision making to achieve college and department objectives. Strong level of ethics and professionalism. Ability to maintain strict confidentiality of sensitive information.

Excellent demonstrated written and oral communication skills. High proficiency in editing documents for accuracy, grammar, and spelling.

Effective interpersonal skills to provide services to individuals and groups. Responds to inquiries and effectively transfers knowledge to others.

Awareness of multicultural issues and a broad knowledge of diversity dimensions. Ability and willingness to serve and engage others in a multicultural environment.

Proficient in standard office software applications such as Microsoft Office, Outlook, Word, Excel.

Proficient in or capable of quickly learning University systems (Cognos, Banner, XTender, On Line Hiring system).

Capable of creating and efficiently organizing computer files and shared online resources. Able to utilize electronic and hard copy record-keeping systems and data.
