Job Description

Accurately prepares and maintains legal case files, logs data from court orders into iDocit case management system for accurate reporting and case assignments, verifies court dates and case information with ICIS. Is proficient in accurately using iDocit case management system including data entry, conflict searches, case maintenance, document merges, close-out procedures, file destruction and reports. And, is proficient using EDMS (Iowa Court's Electronic Data Management System). Verifies database information for accurate and timely statistical reporting utilized by SPD Administrative Office for budget and caseload projection analysis. Receives and screens visitors and telephone calls. Accurately answers routine questions from clients and client family members concerning court dates, status of the case, explains letters, court orders or other legal documents they have received. Reviews incoming mail and court documents and identifies correspondence of a sensitive or important nature and takes appropriate action. Relays specific instructions and messages concerning court cases to clients and others as directed by staff. Maintains verbal and in-person contact with clerks, judges, county attorneys, service providers, and clients. Completes other assignments at the direction of the Public Defender Supervisor.

Minimum Qualification Requirements

Experience equal to two years of full-time general office work, one year of which must have involved secretarial or related administrative support duties;

OR

post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;

OR

completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required general office experience;

OR

certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;

OR

employees withcurrentcontinuous experience in the state executive branch that includes the equivalent of one year of full-time work as a Secretary 1.
