Job Description

The Iowa Department of Health and Human Services’ (Iowa HHS) Division of Compliance, Bureau of Human Resources and General Business Services is seeking a Purchasing Assistant to provide administrative support to the purchasing staff in the procurement of goods.

Summary:

This is a full-time opportunity, working Monday – Friday with typical hours being from 8:00 AM- 4:30 PM at the Lucas Building on the beautiful Capitol Complex, with free onsite parking.

Core Essential Functions:

• Reviews procurement invoices to assure correctness and completeness and creates the appropriate accounting documents.

• Follows up on procurement orders with vendors and respond to vendor inquires.

• Processes purchase orders/requisitions and places office supply orders on behalf of the Department and complies with purchasing rules, policy, methods, guidelines, regulations, instructions, and procedures including buying, inspection and shipping methods.

• Provides support to the purchasing staff in the procurement of goods.

• Works and communicates with internal and external clients and customers to meet their needs in a polite, courteous, and cooperative manner.

• Assists in setting up vendors in the state accounting system.

• Backs up the Mail Clerk 2 as needed.

• Have good written and verbal communication skills

• Be able to understand and interpret State requirements and regulations

• Identify threats and opportunities related to programs under their direction

• Communicate with and train external partners on the programs under their direction

• Be able to prioritize work assignments to effectively meet deadlines

Minimum Qualification Requirements

Graduation from high school or G.E.D. and experience equal to two years of full-time clerical work in purchasing, accounting, budgeting, or storekeeping;

OR

an equivalent combination of education and experience substituting one year of accredited post high school education for each year of the required experience;

OR

employees withcurrentcontinuous experience in the state executive branch that includes experience equal to eighteen months of work as Clerk, Clerk Advanced, Clerk Specialist, Accounting Clerk 1, 2 and 3, or Storekeeper 1, 2 and 3.
