Atlantic Bottling Company Operations Administrative Assistant in Des Moines, Iowa

Overview/Function: The Operations Assistant plays a key role in the success of the Operations Department, with responsibilities for a variety of administrative support activities, including clerical, organizational, and reporting support. They are key in providing support to all areas of the Operations Department, including logistics, and safety and risk mitigation.

Major Responsibilities:

  • Perform a variety of detailed administrative and clerical tasks, including generation and maintenance of reports, handling incoming mail (billing, invoices, vendor correspondence) and respond to incoming phone calls.

  • May handle sensitive and/or confidential documents and information.

  • Update metrics, reporting, monitoring, and data inputting in various web-based tracking systems.

  • Coordinate with Finance team to ensure smooth annual license renewal and registration.

  • Maintain current vehicle licensing documents and distribute annually and as needed.

  • Coordinate data tracking with local management on reports and past due servicing.

  • Enter loss data into various web-based tracking systems and interfaces with claims team.

  • Prepare invoices for payment and coding in AP system.

  • Distribute scheduled paperwork, agendas, surveys, reports, as directed.

  • Act as back-up for Logistics Coordinator when needed.

  • Interact with both internal and external customers and vendors, as well as employees across the organization.

  • Other duties as required.

Qualifications

Experience & Qualifications:

  • High School diploma/GED with 1-3 years of previous administrative support experience is required. (Other equivalent experience may substitute.)

  • Proficient with Microsoft Office Applications including Word, Excel, and Outlook.

  • Ability to work in a fast-paced environment.

  • Ability to collaborate within a team environment.

  • Ability to coordinate and organize efficient and dependable processes.

  • Good attention to detail with a high degree of accuracy.

  • Excellent written and verbal communication skills.

  • Flexible with the ability to adapt to varying situations, and to adjust priorities throughout the workday.

  • Personable with a positive, helpful attitude.

  • Ability to read, write, and sit for extended periods of time.

  • Ability to maintain confidentiality with sensitive information.

  • Regular, consistent attendance is a condition of employment.

    Additional:

  • This position is considered a safety-sensitive position.

  • While performing the duties of this job, the role is regularly required to talk and hear. This is largely a sedentary role; however, some filing is required. This requires the ability to lift files, open filing cabinets, and bend as needed. The ability to climb stairs is also needed. This position may sometimes be required to be in a warehouse environment where temperatures are unregulated and dependent upon outdoor temperatures. The climate can be noisy with an active environment.

  • Flexibility in scheduling is required as work hours are subject to change based on business demands. Typical work hours are 8:00 a.m. to 5:00 p.m. , Monday-Friday .
