Position Summary:

Employee Services provides the CU community with excellent services from recruitment to retirement. This office provides technical expertise while administering benefits, professional development, payroll, individual tax management, and strategic HR programs. The functional areas of Employee Services include Payroll, Technologies, Benefits, Retirement, Financial Education, Learning and Development, International Tax and Human Resources.

The Leave Intake Coordinator position sits on the leave team within Employee Services. This position will advise on federal, state, and university leave benefits including the Family and Medical Leave Act (FMLA), Parental Leave, Short Term Disability, and Family and Medical Leave Insurance Act (FAMLI) for the University of Colorado. This position will understand and gain knowledge related to FMLA, FAMLI and related leave processes and communicating these processes with employees, supervisors, and campus partners in a manner that is clear and easy to understand for someone who may not be familiar with regulatory terms.

The Leave Intake Coordinator will assist employees with FAMLI, FMLA, Short Term Disability and Parental Leave applications, as well as receiving and filing medical certifications and fitness to return forms. This position will assist the Leave Team in continuing to improve and build upon the centralized program to maintain compliance with state and federal regulations.

A successful incumbent in this role must have the ability to pay close attention to detail and work through nuanced processes that change based on employee populations and leave scenarios. This position will work in a collaborative environment and must be able to bounce ideas off other team members. This position will collaborate with other teams including the payroll team, technical administrators, and campus HR partners.

This position reports to the Leave Program Intake Manager and is exempt from the State of Colorado Classification system.

Description of Job

Duties and Responsibilities:

Intake and processing of the Family and Medical Leave Act, Family and Medical Leave Insurance Program and Parental Leave documents:

  • Communicate with employees during their initial leave request and provide necessary follow up documents and communications.

  • Collaborate with the payroll team to ensure leaves are accurately tracked, paid, and reported in the HCM payroll system.

  • Answer common employee questions and provide customer service support to employees reaching out to the Leave Team.

  • Collaborate with Leave Case Managers to enter applications into case management software and make administrative changes to active cases as needed.

  • Guide and instruct employees through the Parental Leave application process and ensure employees clearly understand all related benefits and entitlements.

Leave Program Communications

  • The Leave Intake Coordinator will assist in educating employees on FMLA, FAMLI and other related leave regulations. Type and content of trainings will include:

  • Individual advising for employees, supervisors, HR Liaisons.

  • Maintain compliance and remain up to date with FMLA and FAMLI regulations and university policy changes and partner with the Leave Intake Program Manager to educate campuses on these changes.

Other Duties as Assigned

  • Research policies, practices, procedures, and case law related to FMLA, FAMLI and other types of leave.

  • Collaborate with all University of Colorado campuses regarding leave management standard methodologies.

  • Collaborate with the campus HR teams to address complex cases that intersect with performance management or other Employee Relations topics and initiatives.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Minimum Qualifications:

  • Bachelor’s degree from an accredited institution of higher education, or equivalent professional experience (professional experience may be substituted for the educational requirement on a year-for-year basis).

  • One (1) year of experience in an HR support, benefit, leave related environment, administrative support, and/or customer service support, or similar role.

Preferred Qualifications:

  • Two (2) years of experience in an HR support, benefit, leave related environment, administrative support, and/or customer service support, or similar role.

  • Experience with HCM and MyLeave.

  • Experience working in Higher Education.

Knowledge, Skills, and Abilities:

  • Ability to work in a team environment and delegate appropriately.

  • Collaboration skills, including the ability to work with others from different areas and backgrounds to reach a common goal.

  • Oral, written, and listening communication skills, including the ability to accurately interpret what others are saying and convey messages, information, concepts, and details accurately and clearly.

  • Ability to balance multiple concurrent and competing tasks and responsibilities and adapt to changing priorities while maintaining personal effectiveness.

  • Strong competencies; written and verbal communication, presentation skills, research and analytical skills, initiative and creativity, leadership.

  • Ability to work within a diverse team and actively seek out opportunities to promote and cultivate diversity across the organization.

  • Knowledge of the Family and Medical Leave Act (FMLA) regulation.

  • Knowledge of the Colorado Family and Medical Leave Insurance Act (FAMLI) or other state family leave requirements.
