Duties Description The Administrative Specialist 1, will report to the Executive Deputy Director of the NYS Justice Center, providing secretarial and administrative support to the Executive Deputy Director. These duties will be performed independently with little or no supervision.Specific duties include, but will not be limited to:• Provides administrative support to the Executive Deputy Director and their team;• Provides phone coverage for the Executive Deputy Director, and others working in the Executive office as needed. Calls are screened by ascertaining the nature of the call, judging the necessary disposition or actions required, and bringing important calls and messages directly to the attention of the necessary party;• Organizes meetings and distributes confidential meeting materials for the Executive Deputy Director;• Communicates information and work assignments from Executive staff to staff in program areas. Follows up on assignments to ensure their completion;• Manages confidential documents and communications, including communicating with complainants;• Summarizes various reports, articles, and other documents for the Executive Deputy Director or other executive staff;• Works with Executive Deputy Director and other executive staff in preparing for commission meetings; • Tracks, organizes, archives, and retrieves incoming and outgoing correspondence and e-mail and keeps Executive staff apprised of important correspondence and deadlines for completion. Determines priority of correspondence and routes to appropriate staff with any necessary background/supporting documentation;• Maintains all files both electronic and hard copy and ensures confidentiality;• Maintains confidentiality when handling sensitive information;• May supervise administrative and support staff;• Other special projects as needed to enable the Justice Center to carry out its statutory mandate.

Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).To be considered for appointment through NY HELPS or 55b/c, candidates must meet the open-competitive minimum qualifications for this position.This title includes a traineeship opportunity, and applicants will be appointed to the appropriate level based on their experience and education.Administrative Specialist 1 level requirements:• Administrative Specialist Trainee 1 (equated to SG-14): a bachelor's or higher degree.• Administrative Specialist Trainee 2 (equated to SG-16): a bachelor's degree and one year of professional experience.• Administrative Specialist 1, SG-18: a bachelor's degree and two years of professional experience.Professional experience: providing administrative and staff support to executives, program managers and staff, boards, or commissions by overseeing budget, human resources, and business services activities for an organization or program.Substitution: A Juris Doctor, master's or higher degree in a related field can substitute for one year of specialized experience.Current NYS Justice Center for Protection of People with Special Needs employees with permanent, contingent-permanent or 55b/c service as an Administrative Specialist 1 (previously Administrative Assistant) and interested in reassignment; OR current New York State employee with one year or more permanent, contingent-permanent or 55b/c service as an Administrative Specialist 1 (previously Administrative Assistant) OR current New York State employee with one year or more of permanent, contingent-permanent or 55b/c service in a position allocated to a Grade 11 or above AND eligible for transfer under Section 52.6 or 70.1* or 70.4 of the Civil Service Law.*Successful completion of the two-year traineeship leads to appointment as an Administrative Specialist 1, SG-18.
