Northwestern Ohio Community Action Commission Administrative Assistant in Defiance, Ohio

NOCAC Head Start Preschool program is seeking a dedicated individual to join our team who will support the data entry, invoice management and record-keeping for the Child Development program.

Job duties include:

  • Enter all applications and related family information into the Child Plus system.
  • Enter all health events and corresponding information from physician/dental offices, in-class screenings, and up-dated immunization records.
  • Enter timely health data for enrolled participants.
  • Work with all staff to complete Release Of Information (ROI) forms when needed, maintain HIPPA confidentiality, and follow up with physician/medical offices to ensure the requested information is received.
  • Establish and maintain a secure filing system.
  • Create, code, track, and maintain purchase orders for equipment, supplies, and services.
  • Upon receipt of requests from School Districts, confirm appropriate release is on file, copy and distribute the child's record.
  • Utilize software to update, create and revise documents, and forms.
  • Create and maintain enrollment packets and educational packets in addition to family and staff handbooks and school-to-home initiatives (Bag Tags).
  • Assist in updating, printing, assembling, and distributing of the parent handbook and staff calendar annually.
  • Assist in updating and maintaining Head Start policies and procedures.
  • Enter, compute, track, and print In-kind reports monthly for the finance team.
  • Perform general office duties including front desk coverage as needed and answering overflow calls.

Hourly Pay

  • $18.24/hr - w/ HS Diploma or equivalent
  • $20.18/hr - w/ college degree (AA and above)

Qualifications:

  • High School Diploma or GED
  • Two years experience required in the field of data entry
  • Must have experience with and be efficient at working with computers and databases. Experience with the Child Plus system, preferred.
  • The understanding of Medical terminology a plus.
  • Must be able to sit for periods at a time
  • Must have a valid Ohio driver's license and be insurable through NOCAC's vehicle insurance carrier.

Job Type: Full-time

Pay: $18.24 - $20.19 per hour

Expected hours: 34 per week
