Because of our growth, we are seeking an experienced Office Administrator in the Dayton, OH area. Job Summary: This position is primarily responsible for performing various administrative roles to support Firm operations and takes the lead on administrative responsibilities for the local office. Responsibilities Performs general administrative duties (e.g. photocopying, mailing packages). Maintains company equipment (e.g. printer/copier, kitchen equipment) and keeps office space organized, orderly and neat. Creates and modifies documents using company adopted software. Produces drafts, reports, correspondence and forms as required. Maintains databases as directed. Maintains accurate and efficient filing system (electronic and paper). Maintains accurate and efficient record archival system including off-site archiving following company retention policy. Sorts incoming mail, and deliveries for distribution. Prepares and sends outgoing mail and packages. Coordinates conference room reservations and in-house meetings including necessary equipment setup, food/beverage accommodations and cleaning room when meeting concludes. Coordinates offsite meetings and training as requested. Coordinates/participates in community/charity events for the office. Participates actively in staff meetings and in-house training programs. Purchases office supplies, maintains inventory, and completes purchase orders following company processes. Assists staff with travel on an as needed basis. Assists with company fleet needs on an as needed basis. Assists/coordinates with supervisor and Facilities Manager on maintenance needs, moves, reconfigurations, space planning, and furniture needs of office facilities. Supports staff in assigned projects. Provides administrative support to firm-wide support groups and executive level staff as requested. Provides support for firm-wide initiatives as needed. Greets internal and external visitors to the office in a professional and friendly manner. Assists with space/cube/office set up and reservation of any needed space/assets for all visitors. Assists visitors with sign in process and communicates with office on visitor protocol. Qualifications Must have five (5) years of related Overtime and weekend work as required and needed. Must possess above average Microsoft Office suite Must be proficient with Adobe products, database management software/procedures and the Must demonstrate excellent oral and written communication Must demonstrate excellent time management Must demonstrate excellent attention to Travel: Must be able to travel occasionally.
