The idea candidate will have experience with overseeing all administrative functions within the Division to ensure a productive and inviting office environment for Senior Executives, Business Operations Staff, and Visitors. ADMINISTRATIVE SUPPORT FOR DAYTON OFFICE: * Manage secretarial duties, including but not limited to answering phones, greeting visitors, ordering gifts, maintaining a presentable reception, conference rooms and kitchen areas, and overseeing sign-in procedures. * Handle incoming and outgoing mail, as well as package preparation for shipments. * Maintain oversight of office keys and access cards. * Procure and maintain the inventory of office supplies, equipment, and business cards for staff. * Coordinate and prepare meeting spaces for Divisional staff, ensuring readiness for guest arrivals. * Schedule and conference room bookings, providing technical assistance for setup, as needed. * Assist with electronic document filing and records maintenance. * Organize and schedule training sessions for senior staff members. * Support marketing endeavors by managing media subscriptions and distributing significant articles. * Maintain current and engaging content on various social media platforms. * Manage the planning and coordination of all company events. * Offer administrative support during the proposal process as required. * Liaise with building management regarding maintenance issues. * Foster and sustain professional relationships with colleagues and clients. * Carry out other duties as may be assigned or requested. ADMINISTRATIVE SUPPORT FOR PROGRAMS: * Support in preparing correspondence, briefing materials, and other documentation for program managers as requested. * Monitor and coordinate travel arrangements, including notifying the customer as required. * Support annual training by tracking progress and issuing reminders to ensure adherence to company policies. QUALIFICATIONS: Education/Certifications/Experience/Skills: * Must have a minimum of a high school diploma. * Must have two years of administrative and/or project assistant experience. * Must be proficient in the use of Microsoft Office Applications (Outlook, Word, Excel) and other standard (Customer specified) applications. * Must be able to transport self to various facility sites, as required.
