Texas Instruments (TI) is searching for a detail-oriented person with excellent follow-through skills who is able to maintain confidentiality, have fun and be highly effective in a team environment. Individual must be able to communicate well with all levels of management.

We are seeking an experienced and driven Senior Administrative Assistant to provide crucial support to the leaders of Global Benefits & Operations and Global Compensation. This unique role reports directly to Shannon Freeze and John Whitney, offering an exciting opportunity to work closely and strategically with a worldwide, highly motivated, and engaging team.

Key Responsibilities:

  • Calendar Management: Organize and manage schedules for senior leaders

  • Meeting Coordination: Arrange critical internal and external meetings, ensuring all logistics are handled seamlessly

  • Travel Planning: Schedule domestic and international travel, ensuring smooth and efficient itineraries

  • Expense Management: Handle expense reports and financial documentation with precision

  • Communication Preparation: Draft and prepare presentations, routine correspondence, and other communications

  • System Maintenance: Keep SharePoint and other key internal systems up-to-date and organized

  • Site Coordination: Plan and coordinate department activities, including managing supplies for onsite teams. Perform as the primary point of contact for all of the various vendors and peripheral teams that support our office space

  • Executive Process Coordination: Coordinate calendars and schedules for key annual executive processes

  • Additional Support: Support important ad hoc activities, events and issues as they arise

Qualifications

Minimum Requirements:

  • High School diploma (Associates degree preferred)

  • 5 years administrative experience, including 2 years supporting senior managers with global teams

  • Expertise using productivity software tools in Microsoft Office (Outlook, Word, PowerPoint and Excel), SharePoint and SAP

Preferred qualifications:

  • Communication: Excellent written and verbal communication skills

  • Organization: Strong time management, multi-tasking, and organizational abilities

  • Confidentiality: Proven ability to handle sensitive information with discretion

  • Attention to Detail: Meticulous with a strong follow-through on tasks

  • Interpersonal Skills: Excellent interpersonal skills to interact with all levels of the organization

  • Proactive Mindset: Ability to anticipate team needs and proactively bring solutions to potential issues

  • Ensure key activities/meetings are planned well in advance and maintain annual calendars

  • Adaptability: Enjoys a fast-paced environment and can move quickly to address changing priorities

  • Proven ability to pivot and find solutions in a dynamic environment

  • Intuition: Possesses ability to intuitively and proactively understand team support needs
