JOB SUMMARY

The Officer, Grateful Giving provides essential administrative support and tactical execution for the BSW grateful patient program and serves as project manager on the coordination of daily program operations for the BSW Dallas Foundation. This position will report to the Vice President, Donor Engagement and Experience and is responsible for coordinating daily program needs, managing donor records, managing pipeline and donor qualifications, administrative support for meetings with physician champions, developing training schedule and materials and supporting the execution of engagement activities. This position is also responsible for assigned donor stewardship efforts and additional administrative support as needed. This person will drive the program with a focus on a set of key performance indicators, along with other key measures.

The ideal candidate will be organized, detail-oriented and skilled in managing multiple tasks to manage efforts that engage and cultivate relationships with patients who wish to express gratitude through philanthropy. This role requires a blend of strategic thinking, excellent communication skills and the ability to manage multiple tasks and relationships effectively.

This position requires significant teamwork and frequent contact with Foundation leadership, physicians and employees at all levels of the organization. It is a multifaceted role that requires the ability to analyze complex data and develop strong, strategic insights and plans to support effective and measurable Foundation goals.

ESSENTIAL FUNCTIONS OF THE ROLE

Program Administration:

  • Work closely with major gift team members, ensuring synergy and strategic involvement, and prospect research team members, ensuring adequate screening and examination of potential philanthropic opportunities for grateful patients.

  • Assist Foundation leadership and major gift officers with developing professional cultivation and solicitation strategies for grateful and unengaged prospects to raise funds.

  • Manage physician referral activity, connecting identified physicians with development gift officers.

  • Work with team members responsible for lead generation, report automation, patient access, program dashboards to track progress towards goals and develop physician and donor follow up strategies.

  • Staff foundation leadership to help facilitate monthly grateful patient prospect review sessions, ensuring an efficient and effective process of physician engagement and prospect identification, yielding qualified prospects to portfolios to increase philanthropic revenue.

  • Coordinate with internal departments to ensure alignment with organizational goals and smooth execution of program activities.

  • Contribute to departmental planning and evaluation of annual giving program efforts. Ensure all activities happen within allotted budgets .

Data Management and Reporting:

  • Maintain accurate records of donor interactions, contributions and engagement activities.

  • Update donor records in the donor management system, ensuring accuracy and confidentiality.

  • Analyze program effectiveness and prepare reports for senior management, highlighting successes and areas for improvement.

  • Track performance through moves management and physician engagement strategies.

  • Provide detailed, timely and accurate data entry of relevant information.

  • Generate reports and assist in data analysis to assess program effectiveness and identify areas for improvement.

Communication and Outreach:

  • Work with VP, Donor Engagement and Experience to help implement the grateful giving program for the BSW Dallas Foundation.

  • Collaborate with marketing team to develop training and engagement materials.

  • Draft and proofread correspondence, including thank-you letters, impact reports and program updates.

  • Analyze appeal performance of solicitations to provide relevant information to improve efforts.

Administrative Support:

  • Provide administrative support including scheduling meetings, coordinating communications and managing documentation.

  • Prepare and maintain program materials, including reports, presentations and donor correspondence.

  • Handle routine inquiries from grateful patients and their families, ensuring timely and professional responses.

  • General administrative support.

Stewardship:

  • Assist in the implementation of grateful patient donor recognition strategies.

  • Coordinate outreach efforts to engage and inform grateful patients.

  • Assist stewardship team with the timely and appropriate recognition of donor contributions.

  • Ensure timely and appropriate follow-up with donors, including thank-you notes and updates on the impact of their gifts.

KEY SUCCESS FACTORS

  • A Bachelor’s degree in Business Administration, Communications, Journalism, Marketing, Non-profit Studies or other related disciplines from an accredited college or university.

  • Must be a proficient project manager and possess excellent written and verbal communications skills.

  • Demonstrated experience in campaign management and strategic planning.

  • Proven ability to implement new initiatives, measure and discern progress and adjust to maximize results.

  • Must be comfortable working within a demanding and complex corporate environment with access to highly confidential and proprietary information.

  • Strong work ethic and willingness to take ownership for wide-ranging responsibilities.

  • Experience working with donor database, Raiser’s Edge a plus

  • Experience working in Microsoft Office 365 Suite including Microsoft Word, Excel, PowerPoint and SharePoint; experience working with Adobe Creative Suite.
