Department Administrative Assistant / Office Services Clerk

We are seeking aDepartment Administrative Assistant / Office Services Clerkin our Dallas office. In this role, you will provide a broad range of administrative support, as well as provide various office services assistance. Are you skilled at juggling multiple responsibilities? This is an on-site position in our Dallas office, with work hours from 8:30 AM to 5:00 PM.

As a key member of the team, you will:

  • Process daily mail; perform mail pickup and delivery at scheduled times.

  • Provide client services/receptionist coverage as needed, including back-up for breaks.

  • Open and close electronic files, prepare labels, prepare files for off-site storage including content description reports. Coordinate delivery and retrieval of files from off-site storage vendor.

  • Assist with annual document destruction, as necessary.

  • Assist with outside deliveries, as needed.

  • Operate photocopy machine for large copying and scanning projects.

  • Schedule conference rooms and visiting attorney offices; order catering as needed.

  • Coordinate coffee service which includes ordering, maintaining, and cleaning of coffee stations and conference rooms. Keep kitchens cleaned, organized, and stocked.

  • Function as liaison with building management and coordinate building services.

  • Maintain accurate and detailed records of receiving documents and supplies and ensure that all products received are correct. If necessary, handle returns to vendors promptly.

  • Input, track, and receive tasks using legal services workflow system.

  • Assist with entering attorneys’ time, ensure accuracy by proofreading, using spellcheck and appropriate task codes to comply with firm policies.

  • Organize electronic documents in document management system and shared network drives.

  • Manage and organize physical files and other hard copy materials.

  • Process reimbursement requests, check requests, and vendor invoices.

  • Prepare binders, indexes, and labels; assist with organization of materials.

  • Provide administrative support directly for first and second year associates, as requested.

  • May be requested to perform other duties not listed above.

What we’re looking for:

  • High School diploma or G.E.D. equivalent.

  • At least 1 year of administrative support or related experience.

  • Accurate typing skills.

  • Good oral and written communication skills.

  • Ability to work effectively with all levels of personnel.

  • Attention to detail and accuracy.

  • Strong organizational skills.

  • Strong customer/client service focus and skills.

  • Ability to adhere to deadlines.

  • Ability to maintain client and firm confidentiality.

  • Ability to work independently and in a team environment.

  • Working knowledge of Microsoft Office.

  • Ability to ascend/descend a ladder to service the lights and/or access records files and supplies.

  • Physical strength and agility to permit full performance of the duties of the position, including bending, walking and lifting up to 30 pounds.

Preferred:

  • Prior mailroom or general office administrative experience.

  • Good knowledge of MS Office software applications.
