DALLAS CAPITAL BANK NATIONAL Administrative Assistant in Dallas, Texas

An administrative assistant is the supportive force behind both, and we are currently seeking someone exceptional to take the reins. The ideal candidate, as the first point of contact, will ensure seamless coordination of welcoming all guests, and coordinating all front-desk activities, including managing incoming/outgoing mail and shipments, and answering and redirecting phone calls for senior banking executives and managers. The candidate should also have experience supporting a team, specifically high-level executives, be well organized to expedite workflow. In this role, it will be key for you to work flexibly to accommodate schedules and to anticipate the needs of senior executives and managers, team members and of each person you greet. You will be responsible for professionally interacting and comfortably communicating with management within the company, as well as board members, clients, vendors and guests.

ESSENTIAL RESPONSIBILITIES:

  • Maintain front-desk coverage by greeting guests and team members as they enter the office, managing incoming/outgoing mail and shipments, food deliveries, and maintaining an organized and clean Executive Suite reception area, Board Room, and coffee/refreshment bar locations.
  • Manage and follow through on special projects and conduct research as needed to support departmental initiatives, often with deadline pressure.
  • Aid senior banking managers and leaders in the day-to-day operations of their offices, keeping them well informed of upcoming commitments and responsibilities, completing expense reports and coordinating across departments to manage invoice payments and expense reports reimbursement. Manage an active calendar of meetings and priorities accordingly.
  • Attend events, seminars, and receptions as firm host as needed or requested.
  • Organize events on behalf of senior banking managers and leaders as required in the office, off-site, and via video conference - travel arrangements, lodging, arrange meeting rooms, resources and planning for consultants/auditors, workgroups and meetings, whether on company premises or offsite. Coordinate location planning, staffing, and catering. Compile and prepare meeting materials, equipment and resources.
  • Prepare and edit presentations, correspondence, documents, and other data using various resources and software applications, such as Microsoft Suite. Organize information to ensure the display fulfills the intended purpose.
  • Order, receive, distribute and maintain appropriate controls for bank supplies and equipment, and distribute and retrieve security access cards.
  • Proactively look for ways to assist, contribute, and improve upon existing processes.
  • Identify issues before they become problematic and offer innovative solutions that are in compliance with policies.
  • Serve as backup liaison with the bank, building management and maintenance.

QUALIFICATIONS / EDUCATION / EXPERIENCE:

  • High school diploma or equivalent required. College degree or equivalent professional experience in the banking or financial services industry preferred.
  • 3+ years of progressively responsible work experience working for senior management positions required preferably in a bank or financial institution.
  • Strong sense of professionalism, commitment to high quality, and an attitude of flexibility with a hospitality mindset.
  • Excels in customer service and teamwork.
  • Effective listening skills, communication skills, and basic business writing skills with the ability to convey technical information in a way that is easy for others to understand.
  • Have a high level of ability to apply standard business etiquette using good judgment to establish smooth working relationships, resolve interpersonal conflicts, and correct misunderstandings or errors.
  • Well-organized, detail-oriented, strong time management and planning skills ith proven ability to multi-task and meet deadlines in a deadline-oriented environment with regular interruption.
  • Impeccably handle confidential information with discretion.
  • Fluency with Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint).

WORKING CONDITIONS / ENVIRONMENT:

HOURS

: Monday - Friday; 8a - 5p; Onsite/Non-Remote
