The pay range for this position is $19.96 - $26.41 per hour

The State of New Hampshire, Department of Safety, Division of Homeland Security and Emergency Management has a full-time vacancy for Program Assistant II, SOC Title 43-6010 ADMIN ASSTS-4. This position has a 37.5 hour work week and is considered non-exempt.

SUMMARY:To work as a paraprofessional for the Division of Homeland Security and Emergency Management (HSEM). To perform administrative support functions for the Planning Sections School Safety and Preparedness Program. Works under the supervision of the School Safety and Preparedness Coordinator.

18 Months or 1.5 Years of additional relevant experience = Associate's degree

36 Months or 3 Years of additional relevant experience = Bachelor's degree

54 Months or 4.5 Years of additional relevant experience = Master's degree

MINIMUM QUALIFICATIONS:

Education:Associates Degree from an accredited institute of higher education. Each additional year of approved formal education may be substituted for one year of required work experience.

Experience:Three years of experience in business, information technology, communications, education, emergency management, law enforcement, fire science, engineering, public administration, homeland security or an emergency management related field with responsibility for providing program information to others. Each additional year of approved work experience may be substituted for one year of formal education.

License/Certification:Must possess a valid drivers license.

PREFERRED QUALIFICATIONS:Experience writing, editing and proofreading documents and/or plans preferred.

SPECIAL REQUIREMENTS:

  1. As necessary, must work a flexible schedule to include nights and weekends, to accomplish the mission of Division of Homeland Security and Emergency Management.

  2. Selected candidate will undergo a fingerprint based criminal background check and motor vehicle record check in order to ensure suitability for exposure to confidential information.

  3. Must provide a yearly DMV driver record check.

PREFERRED WORK TRAITS:Proficiency with Microsoft Office suite of products (i.e. Word, Excel, Visio, PowerPoint, etc.). Strong computer and office skills.

RESPONSIBILITIES:

Assists in collecting data and compiling annual, quarterly and monthly reports, as requested; compiles and prepares specialized program information for use by superiors, agency staff, or the public, related to the School Readiness Unit.

Provides technical assistance and informational support to agency staff, other state employees, local officials, stakeholders and the general public in various forms, including electronic mail and telephone and recommends policy or procedural changes or alternate work methods to improve the flow of work and the administration of the School Readiness Unit.

Develops, updates, edits, and maintains a variety of documents, databases, graphics and spreadsheets in support of the School Readiness Unit.

Reviews paperwork for completeness, accuracy and format according to state and federal requirements, and ensures that materials are submitted in a timely manner.

Assists with the coordination of unit activities and training for agency staff, other state employees, local officials, stak holders and the general public.

Manages correspondence, provides recordkeeping functions and composes various reports. Ensures that documents, forms, files, plans and procedures are properly maintained and kept current.

Maintains a level of proficiency in computer office software (i.e. Word, Excel, Visio, PowerPoint, etc.) and

proofreading to ensure documentation is submitted and maintained in a timely and accurate fashion.

Manages supports activities of personnel to include scheduling and recording of meetings, facilitating travel,

accommodations and registration for meetings and conferences, and other administrative duties necessary to

support day-to-day activities.

Assists with research of safety and preparedness, risk, and emergency management issues on behalf of the unit to address a specific internal or external inquiry
