EquipmentShare is searching for a Lease Administrative Specialist for our corporate office in Columbia, MO, to support our team as the department continues to grow.

Job Summary:

The Lease Administrative Specialist plays a crucial role in managing and maintaining lease agreements for the company’s equipment and real estate portfolio. This position involves overseeing lease documentation, uploading lease transactions into our accounting program, and ensuring compliance with lease terms and regulations.

Primary Responsibilities

  • Lease Documentation: Process, review and maintain lease agreements,

amendments and renewals. Ensure all related documents are accurate, complete

and compliant with company policies and legal requirements.

  • Lease Renewals, Returns, and Buyouts: Coordinate lease renewals, returns and

buyouts including communicating with lenders/lessors, internal stakeholders and

updating lease documentation and systems as necessary.

  • Database Management: Maintain lease databases, debt table and tracking

systems to organize documentation, critical data and key data reporting items.

Reconciliation: Reconcile equipment assets for new lease schedules verifying

invoices match data points in our internal systems.

  • Lease Audits: Conduct regular audits of lease agreements to ensure accuracy

and compliance with lease terms, rates, verification of debt confirmation match

with lenders, and other provisions.

  • Internal and external audits: Assist in quarterly and yearly audits with

reconciliations, confirmations, and documentation.

  • Lender Relations: Serve as a primary point of contact for Lenders/Lessors and

other stakeholders regarding lease/loan-related inquiries, requests, and disputes.

Process improvement: Identify opportunities to streamline lease administration

processes, enhance efficiency, and optimize the use of our lease management

system and internal systems.

Skills & Qualifications

  • Excellent organizational skills for managing multiple leases, deadlines and

documentation.

  • Proficiency in financial systems, lease management software and standard office

applications (Excel, Google Sheets, Alteryx)

  • Strong written and verbal communication skills for interacting with internal

stakeholders, vendors, and lessors.

  • Ability to analyze lease terms, financial data and performance metrics.

  • Ability to address and resolve issues related to lease agreements or

administrative processes.

  • Bachelor’s degree in Finance, Real Estate, Business Administration or related

field preferred

  • 3-4 years’ experience in lease administration, property management or related

field. Familiarity with lease agreements, financial management and compliance

is essential.
