Odyssey Systems is looking to add a Portfolio Coordinator who will support our Space & Missile Defense Group. The ideal candidate should be a motivated, organized, solution-focused individual to join a small, dynamic,high-functioning team. Seeking someone with a positive, collaborative 'make things happen' attitude,that is focused on creating and implementing win-win solutions for effective execution of a portfolio of programs. The individual will interface with all levels of Odyssey personnel to ensure successful office execution and Government contract compliance.

This is a full-time role located in our Colorado Springs, CO office with telework capabilities.

Responsibilities

Duties include, but not limited to: Pro-actively engage with Odyssey Executive Director, Directors, other senior managers, company business unit members, and managers to ensure efficient operations for a portfolio of programs Manage operation of a small Odyssey field office, ensuring effective use of space and resources Independently document, manage and implement effective, repeatable processes Assist with on-boarding, transfer, and off-boarding other employees, to include updating corporate personnel databases Manage the spot bonus program Manage and facilitate a repeatable cadence of meetings to ensure regular, transparent exchange of information and materials between key players Assist in the preparation of reports required by government clients Track, organize and manage actions to successful closure, on behalf of Odyssey leadership as well as ensuring individual employee actions are satisfactorily met Act as integrator between program operations managers and Odyssey corporate departments, such as human resources, contracting, security and finance Act as liaison with Odyssey's Talent Acquisition team of recruiters, assisting with coordination of staffing and hiring actions, ensuring open positions are advertised Manage timely and accurate completion of employee timecards Track and follow up on employee mandatory training, reporting status to leadership Manage reconciliation of overhead expenses and office supply ordering Assist with business management execution activities such as management of employee hours against projections, burn down of employee compensation time Coordinate communication between managers, employees and Human Resource business partners ensuring personnel-related matters are handled with discretio Help to ensure effective and timely communication and collaboration between Executive Director, managers,and employees, scheduling and facilitating meetings Help facilitate welcome messaging, employee onboarding and offboarding, ensuring consistent comprehensive employee experiences, regardless of their location Coordinate event activity, ex: participation, agenda and presentation material development, for hiring events, industry days, All-Hands, Executive Director and other senior manager presentations Consolidate and author elements of employee and program communications, such as corporate social posts, employee recognition correspondence, newsletters Coordinate office visits and provide entry as you meet and greet door visitors Maintain calendars for conference rooms, schedule meetings and make conference room arrangements Manage suspense assignments for the Program Managers and staff

Qualifications

Minimum Requirements: Citizenship: Must be a U.S. Citizen Education: High School Diploma Year's experience: five (5) years of relevant experience Additional experience: Must possess strong customer service and communication skills Proficiency in Office 365 Organization and th ability to multitask to complete a wide variety of tasks Experience managing several projects simultaneously to completion Ability to learn new concepts and programs.
