The Executive Coordinator - COO position exists to provide dynamic administrative assistance and highly diversified tasks requiring comprehensive knowledge of Focus on the Family policies and procedures; relieves Chief Operating Officer of a wide variety of involved/complex administrative duties by specific or general authorization; plans/arranges own work using a wide range of processes and organizational skills; assumes responsibility for general decisions; analyzes problems, recommends solutions, and follows through until resolved.

Essential Duties/Responsibilities:

  • Assists and relieves Chief Operating Officer (COO) of a variety of complex administrative duties; utilizes independent judgment, determining when to act for supervisor and when to refer problems for personal attention

  • Serves as the primary point of contact for the office of the COO, communicating questions, concerns and information to the COO with the appropriate sense of urgency

  • Maintains COO’s office calendar: arranges meetings with employees and constituency, establishes priorities for appointments and makes travel arrangements, both domestically and internationally

  • Serve as a contributing member of the COO’s direct report team

  • Assist with managing the initiatives and projects on behalf of the COO, keeping the COO apprised of issues and activities within the organizational reporting structure

  • Disseminates action items on behalf of the COO from weekly meetings with direct reports and other areas of supervision. Issue reminders and follow ups as appropriate

  • Tracks timelines and deadlines on behalf of COO, based on agreed to priorities, creating tracking systems and spreadsheets as necessary to ensure effective and efficient results

  • Flags and ensures follow up on significant pieces of mail, e-mail, phone messages and other information and replies on behalf of COO when appropriate. Alerts COO to communications that require immediate action

  • Monitors team assignments within the organization setting priorities for meeting deadlines and balancing COO and own workloads; adjusts work schedule to meet extra demands and prioritizes tasks to complete multiple projects

  • Initiates and organizes data for reports and presentations for COO review, prepares presentations and presents to the Board of Directors and management

  • Answers administrative/procedural questions relating to policy and procedure for other ministry personnel and outside callers, utilizing a comprehensive knowledge of the functions, operating methods and practices of the organization

  • Places, receives, screens, and refers telephone calls to appropriate personnel; responds to highly diversified inquiries from management, employees, constituents and the general public

  • Compiles and analyzes information requested; drafts replies and/or transcribes correspondence for signature

  • Interfaces regularly with other departments and agencies outside the ministry to exchange information, answer inquires, act on problems, and secure cooperation or approval on action to be taken; follows-up to ensure that response has been adequate

  • Responds to complaints and problems of employees and constituency who have contacted COO’s office by recording complaints and using own judgment to answer general questions, refers specific problems to supervisor or to relevant area

  • Checks, prepare s, corrects, and/or summarizes reports, records, and correspondence; compiles financial, statistical, or numerical statements by collecting data, performing calculations, and verifying results

    Other Duties/Responsibilities:

  • May be assigned to various special projects involving in-depth familiarity with ministry background and policy spanning more than one functional area or operating division; searches manuals, files, and records for relevant background information

  • Performs other duties as assigned

    Managerial Breadth/Scope of Job:

  • Trains, instructs, and/or coordinates the work of other administrative personnel within the division

    Personal Characteristics:

  • Highly developed emotional intelligence (EQ) and mature judgment

  • Self-starter with resilience and mature judgment

  • Able to handle changing and challenging priorities with calmness and can do attitude.

    Knowledge/Experience:

  • Bachelor’s degree or equivalent

  • 5-7 years of directly related experience

  • Type 60-75 wpm with 98% accuracy

  • High level of proficiency with Microsoft Office including Word, Excel, PowerPoint, and Outlook

  • Experience with Microsoft SharePoint preferred

    Skills, Abilities, and Special Talents/Gifts:

  • Ability to communicate effectively both orally and in writing, especially when directing other personnel. Frequent interface with individuals in executive positions requires the exercise of complete discretion, courtesy, and tact with individuals in telephone and personal dealings

  • Ability to establish and maintain rapport with various levels of staff across the ministry

  • Ability to create goodwill across the ministry on behalf of the office of the COO.

  • Ability to respond appropriately to employees, constituency, and executive management, especially during high-pressure situations

  • Adept at problem solving

  • Displays discretion in handling confidential/proprietary information; exhibits the utmost integrity to safeguard the ministry's integrity

  • Good mathematical and analytical skills to develop and monitor systems

  • Exhibits good leadership capabilities in order to coordinate administrative workflow

    Pay Range: $26.00 to $30.00/hr
