Th e Event Planner 2 position exists to oversee and implement the planning of various small and medium scale events simultaneously by managing and directing all planning, execution, follow-up, and evaluation of events both onsite and offsite. This position requires only general direction and can work independently as well as supporting other planners on the team. Refers unusual or complex problems to supervisor.
Essential Duties/Responsibilities:
Coordinates multiple small and medium scale events simultaneously
Coordinates and monitors progress of all event needs, timelines, activities, and services while keeping client informed of progress throughout the process
Schedules and facilitates ongoing status meetings with clients to track the progress of the event
Coordinates event activities, check-ins, and needs with departments such as facilities, custodial, security and other departments as needed
Develops and maintains professional relationships and engagement with clients, attendees, guests, and staff
Contacts vendors to receive initial proposals, estimates, and coordinates on-site vendor needs
Secures vendor estimates and quotes on food and beverage, activities, supplies, etc. for the event and obtains client approval for all expenditures
Develops Banquet Event Orders (BEO), pricing quotes, schedules, and timelines in support of established deadlines
Executes against approved budgets and client expectations for each event
Oversees and implements all logistics of setup for assigned meetings or events based on an agreed upon BEO/CAD drawing
Manages post-event processes including client communication, reflections, and surveys, and adjusts as needed for future events
Manages and stocks food and beverage inventory for the Events Department
Oversees linen inventory and ordering for the Events Department
Represents the Events Department on cross-functional teams working together to ensure successful execution of an event.
Other Duties/Responsibilities:
Assists other Event Planners and Supervisor, as needed, with any of the above, including equipment set-up and large-scale event planning
Performs general office duties (e.g., filing, typing, and data entry)
Performs other duties as assigned
Managerial Breadth/Scope of Job:
May request and engage with volunteers in duties required for event execution and completion
Working Environment/Physical Requirements:
Office and onsite/offsite local venue environment
Must be able to pass a Post Offer Prehire Physical exam
May be required to work early mornings, late nights, occasional weekends, and overtime
Must be able to stand and walk for extended periods of time – up to 14 hrs.
Lifting and carrying up to 50 lbs. on a consistent basis
Ability to push up to 100 lbs. on a consistent basis
Requires repetitive tasks/motions, good eye-hand-foot coordination, good manual dexterity, and able to distinguish colors
Must be able to hear alarms/phone and voice mail messages/normal speaking voices

Personal Characteristics:

Knowledge/Experience:
Bachelor’s degree in Hospitality Management, Marketing, Communications, Business, or related field preferred
1-3 years of experience in both organizing and implementing meetings, events, or related activities
Project Management experience is a plus
Demonstrated proficiency in both oral and written communication of information

Pay Range: $18.00 to $21.00/hr
