Hamilton College Assistant/Associate Director, Promotion and Operations in Clinton, New York

The Assistant/Associate Director for Promotion and Operations is a pivotal member of the Career Center team, responsible for leading the strategic planning, execution, and management of outreach designed to elevate student engagement with the Career Center. This role supports the employer engagement, coaching, and career communities teams by ensuring effective communication to Hamilton students about Career Center services, programs, and events through various channels, including print materials, social media, and the Career Center's website.

In our commitment to ensuring all students have access to internships, the Career Center offers funding to students who apply and qualify for cost-of-living expenses for summer career-related experiences through the Summer Internship Funding program (SIF). The Assistant/Associate Director supports the administration and promotion of Hamilton’s funded summer internship programs, facilitating student access to valuable experiential learning opportunities. Additionally, the Assistant/Associate Director ensures that the Career Center’s events and programs are effectively executed by supporting the planning, coordination, and execution of on-campus Career Center events.

This is an exempt position with a pay range of $58,459 - $62,000.

Responsibilities

Outreach and Promotion:

  • Develop and implement comprehensive outreach strategies to students to promote Career Center events, programs, and services related, but not limited, to the foundational curriculum, career communities, employer engagement opportunities, and signature events.

  • Collect, analyze, and interpret data on the performance of promotional campaigns.

  • Create detailed reports and presentations summarizing key metrics, trends, and insights.

  • Provide actionable recommendations based on data analysis to improve future promotional strategies.

  • Create and manage content for various promotional channels including social media, email campaigns, newsletters, printed materials, and the website.

  • Ensure the Center’s internship and job recruitment/event management platform, Handshake, is optimized to best serve students, alumni, recruiters, and staff members.

  • Partner with the Advancement Promotion team to ensure the mentor platform, PeopleGrove is optimized to best serve students, alumni, and parents.

  • Stay current with industry trends; monitor and evaluate the effectiveness of outreach and engagement initiatives, and make data-driven recommendations for improvement.

  • Supervise a team of 4-6 student interns involved in promotions and operations work

Funded Program Administration:

  • Program promotion & coordination

  • Promote SIF to students to solicit applications.

  • Monitor application numbers and implement promotional strategies as needed based on the response rate

  • Organize student application materials, employer confirmation materials for confirmed internships, and tracking information in Google Docs.

  • Revise process documents (e.g., funds tracking, information packets, application forms, budget forms, evaluation rubrics, progress reports).

  • Application and award processing

  • Manage correspondence from student applicants

  • Create, distribute, and collect contract documents for students who qualify for funding

  • Coordinate with Accounts Payable to distribute funds to students.

  • Reporting and communication

  • Track and coordinate all recipient reports (employer confirmations, mid-way progress reports, final reports, and supervisor reports).

Event Coordination:

  • Collaborate with Career Center staff to understand event goals and requirements.

  • Source and secure event venues, catering services, audiovisual equipment, and other necessary resources for on-campus events.

  • Coordinate with vendors and service providers to ensure all logistical needs are met.

  • Manage event registration processes and attendee communications, ensuring timely responses and clear information.

  • Support office-wide events on campus, such as signature programs, Fallcoming, Family Weekend, and Reunions.

Bachelor’s degree in promotions, communications, or a related field preferred, plus a minimum of two years of related experience. An equivalent combination of education and experience may be acceptable

Knowledge, Skills, and Abilities

  • Must understand and communicate well the mission and strengths of Hamilton. Must appreciate current trends in higher education and important characteristics of the College’s many audiences, including their relevant interests and needs, and levels of knowledge about and engagement with the College

  • Think creatively, act strategically, and possess strong writing and editing skills for both digital and print formats. Also essential are proofreading, interpersonal and time-management skills, extraordinary attention to detail, and the ability to meet deadlines and manage projects

  • Must know promotion concepts and experience implementing integrated promotion initiatives; familiarity and comfort with using data to inform planning are essential

  • Must be self-motivated, organized, detail-oriented, and able to handle multiple projects simultaneously.

  • A commitment to diversity, equity, and inclusion, including experience developing or supporting initiatives that serve underrepresented groups.

  • Desire to work collaboratively and build productive relationships with colleagues and constituents

  • Adept at assessing new technologies and can implement and adjust the same as needed.

  • Determine the most effective way to deliver the Career Center’s messages.

  • Follow the College’s editorial and graphic styles
