BAW PLASTICS INC Executive Assistant in Clairton, Pennsylvania

BAW Plastics Inc is currently looking for an executive assistant to support our senior leadership.  This person should have a minimum of 5 years' experience working in an administrative role reporting directly to upper management.  They should be well-organized, detailed oriented and proficient with time management.

Objectives of this role:

  • Support the senior executive team members to ensure that priorities are met, goals accomplished, and communication both verbally and written are coordinated while maintaining professionalism and strict confidentiality.

  • Manage communication with employees by liaising with executives on various projects and tasks.

     

Responsibilities:

  • Manage professional and personal scheduling for senior team, including mail, phone calls, and correspondence.

  • Handling memos, reports, invoices, and related documents including sensitive information.

  • Manage senior executives' travel logistics and activities, including flight booking, accommodations, and transportation.  This incudes keeping itineraries for team members updated as needed.

  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintaining weekly/monthly/yearly reporting as needed.

  • Organize team communications and plan events as needed throughout the year.

  • Coordination of company meetings (401k, Safety, etc.).

  • Managing and ordering the supply needs for in-house use.

  • Project management/research.

  • Assist H.R. Director with various aspects of employee records, reporting and communication.

  • Excellent written and verbal communication skills.

  • Strong time-management skills and ability to prioritize, organize and coordinate multiple concurrent projects and complete tasks on time.

  • Proficient in Microsoft Office tools (Word, Excel, Publisher, PowerPoint, and Outlook).

  • Proficiency with office productivity tools and an aptitude for learning new softwae and systems.

  • Flexible team player, willing to adapt to changes and unafraid of challenges.

  • Ability to maintain confidentiality of information related to the company and its  employees.

Qualifications:

  • Bachelor's degree or equivalent experience.

  • Proficient in Microsoft Office suite.

  • Experience in managing multiple priorities, administrative coordination, and logistics.

  • Well-organized detail-oriented, ability to multi-task with great follow-up skills.

  • Strong written and verbal communication skills.
