GENERAL FUNCTION:

With minimal supervision, this role covers a broad area of responsibility within Security Services in one or more of the following areas: settlements, mutual fund settlements, outside trade support or corporate actions. This role functions as the first level of escalation for trading and/or settlement issues and a resource for the settlement team and/or corporate actions team. Works with and assists settlement manager or corporate actions manager in all daily activities except supervision of employees.

Responsible and accountable for risk by openly exchanging ideas and opinions, elevating concerns, and personally following policies and procedures as defined. Accountable for always doing the right thing for customers and colleagues, and ensures that actions and behaviors drive a positive customer experience. While operating within the Bank’s risk appetite, achieves results by consistently identifying, assessing, managing, monitoring, and reporting risks of all types.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Handles securities processing tasks of a more difficult nature and/or higher risk as needed including independently processing transactions of extremely high dollar amounts.

  • Reviews daily all appropriate house or DDA accounts and asset position reconciliations, actively researches and resolves any items in a timely manner to prevent any aged items in all accounts.

  • Assists with or manages special projects, including any testing of new processes and the development of new procedures for the team.

  • Assists management in updating and revision of all department procedures.

  • Acts as back-up for the manager.

  • Ensures that production standards are met and maintained.

  • Maintains optimum efficiency and cost effectiveness, including suggesting new techniques to improve productivity.

  • Ensures timely completion of paperwork and reports.

  • Performs quality checks of departmental work.

  • Maintains frequent interaction with depositories and counter parties to be able to respond effectively to problems with trade settlements to avoid fails.

  • Researches and resolves questions and inquiries presented by internal and external parties and communicates resolution in a timely manner. Often serves as first line contact for issues received from administrators, custody reps and investment staff.

  • Troubleshoots complex operational and customer service issues and problems within assigned areas, referring only the more complex problems to manager.

  • Contacts counter party, including internal and external parties to follow-up on outstanding settlement issues, report and research fail activity and communicate settlement issues with Administration, vendors, depositories and other interested parties in accordance to established customer service guidelines.

  • Provides support and training to department staff.

  • Prioritizes and assigns work to nonexempt departmental staff.

  • Perform any other duties as assigned.

SUPERVISORY RESPONSIBILITIES:

None; however, acts as the back-up in the department manager's absence. This includes assisting/managing special projects, prioritizing and assigning workloads, monitoring and upholding quality standards, monitoring and upholding efficiency standards and ensure the training of new employees to the department.

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Requires Bachelor’s degree or equivalent work experience.

  • Minimum 3-5 year of operations experience in securities industry required.

  • Trust/Securities processing/banking and/or back office operations processes experience required.

  • Knowledge of cash/securities clearance processing preferred.

  • Excellent written and verbal communication skills including the ability to effectively communicate on behalf of the Bank to both internal and external clients.

  • Demonstrated professional customer service skills with a strong focus on delivering exceptional customer service.

  • Strong mathematical and organizational skills.

  • Display excellent intuitive judgment, systematic approach to problem solving and effective problem resolution skills.

  • Ability to work in stressful environment and meet deadlines.

  • Strong interpersonal and relationship building skills.

  • Comfortable interfacing with all levels of management and clients, both internal and external.

  • Ability to multi-task with high attention to detail, including managing multiple issues/projects with varying priorities and deadlines.

  • Strong problem solving skills with the ability to recognize potential problems and formulate solutions in a timely manner.

  • Proficient with Microsoft Office products, including Word, Excel, etc. as well as a demonstrated aptitude for learning other business-specific software programs.
