We have a great opportunity for a solutions-driven Lead Quotations Project Coordinator to join our growing team! You will be a liaison for our Southeast Region Project Management Team, sales associates, managers, vendors partners, and customers. The primary responsibility is to lead coordination of projects from receipt of purchase order until successful completion of the project. Main Responsibilities of Lead Project Coordinator: Create and maintain a very detailed and structured project file to ensure all project management information is organized and accessible. Utilize Eclipse Job Management and ERP system Solar Eclipse to generate purchase orders, update shipping summaries and tracking information, create change orders, process credits / returns, and manage the overall project. Maintain relationship with customers and all related associates for the project. Effectively communicate the scope of the project, timelines, and special requirements to involved participants. Generate approval and record drawings, warranty statements, and closeout documents. Assist with project related billings, change orders, and revisions to project bill of material. Attend project meetings with quotations associates, customers, and sales associates as needed. Engage with quotations coordinators, sales associates, managers, and customers to provide project updates, status changes, and resolve critical issues. Work with our vendor partners to ensure accurate pricing, establish timelines, generate change orders, and resolve project related issues. Manage change orders and communicate with all team members involved in project. Confirms all invoicing and receiving issues are reconciled prior to project close out. Closeout projects in Job Management. What you bring: Possess strong digital and verbal communication skills. Strong computer skills preferred, including skill to us Windows, Excel, Microsoft Word, Adobe Pro Acrobat and other computer programs. Characteristic of very detailed, accurate, structured, and organized. Ability to multi-task throughout the day, maintain a timeline, and complete activities. Ability to be proactive, engaging and team-oriented when working on assignments. Ability to work with people from a variety of backgrounds and experience levels.
