AIDS Foundation Chicago Ryan White Training Specialist in Chicago, Illinois

The Ryan White Training Specialist will coordinate and assist with all AFC funded direct service provider and peer-related trainings. The Specialist will be an AFC representative for ongoing training activities across the organization. The Specialist will assist in the implementation and standardization of tools to assess training needs, will coordinate the trainings calendar with other relevant AFC departments and external collaborators, evaluate the effectiveness of trainings, create new trainings. They will also track demographics, and track the analysis of trainings over time.

The Specialist will provide support and coordination for semi-annual trainings, including scheduling, and contract creation and upkeep related to external collaborators. The Specialist will help explore the development and implementation of trainings utilizing various formats based on participant feedback, including but not limited to remote trainings and video training formats. The Specialist will also provide facilitation and hosting for trainings, as well as leading instruction when required.

The salary range for this role is $50,000 to $52,000 annually.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Trainings

• Training calendar upkeep; which would include tracking all trainings, monitoring upcoming trainings for promotion, following-up with off-site spaces, and monitoring online platforms.

• Provide facilitation and hosting for meetings in conjunction with the Ryan White Training Manager, these functions include working knowledge of our online training platforms (Zoom, TalentLMS, etc.), launching meetings and trainings, and tracking of learner interactions.

• Training Maintenance, which includes RSVP follow-up, handout/PowerPoint preparation and distribution, food/catering management and trainer coordination

• Create, maintain, and follow-up with the creation and upkeep of contracts related to external collaborators on an annual basis

• Assist in the creation of a calendar of service provider and consumer trainings on an semi- annual basis incorporating input from providers, external collaborators, consumers, funders, and AFC staff

• Communicate training opportunities to providers, external collaborators, and consumers via email lists

• Maintain data and personnel for online learning management systems, and other online tracking locations

• Customize trainings per special requests after receiving information from relevant content experts

• Seek opportunities for AFC to take the lead on regional trainings/conferences

Planning, Evaluating, Reporting

• Quality assurance of trainings, which would include post-training evaluation data entry, analyzing evaluation data for training improvement, and engaging with case managers for feed-back at regular intervals, and reporting feedback to trainers

• Utilize information to improve training sessions; assist in creating training summaries to be reported to funders

• Coordinate the collection of case manager training information and entry into data collection systems, in order to monitor the compliance of contractual case manager training requirements

• Coordinate and track the need of recertification for case managers, as well as other annual and irregularly tracked requirements.

Cross Departmental Work

• Collaborate to give accurate reporting on trainings, surveys, and client input to other AFC departments

• Provide technical assistance and related support to Case Managers and other students

• Coordinate with other departments to assist with distribution of our trainings for their case managers to access

• Provide additional staff support to the Interdepartmental Training Workgroup to coordinate agency training efforts and assist with other departments' training-related data entry as needed

Other

• Assist with agency-wide activities as directed, including Annual Meeting, AIDS Run & Walk, and others

• Attend and actively participate in required All Staff meetings, and monthly Care Team meetings

• Update job knowledge by participating in educational opportunities, reading professional publications, and maintaining professional networks

• Protect organization's value and manage risk by keeping information confidential

• Perform other duties as assigned

ENTRY REQUIREMENTS (EXPERIENCE AND EDUCATION)

Minimum Qualifications

• Associates degree and previous experience with Public Speaking and Training Development

• PLUS 1 or more years' of remote meeting use (Zoom, Teams)

• PLUS 1 or more years' experience using a relational database (i.e., Access, Provide)

• PLUS 1 or more years' experience using basic Microsoft Office functionality (for example, Excel, Word, Outlook, PowerPoint)

Preferred Qualifications

• Bachelor's degree in a human service field

• 1 or more years' experience developing and delivering training

• 1 or more years' experience with online or remote education/meetings/organization

• 1 or more years' experience with Learning Management Systems

• 1 or more years of HIV-specific experience

• Bilingual (Spanish-English)

KNOWLEDGE, SKILLS, AND ABILITIES

• The ability to maintain accurate work records and access these records as necessary

• The ability to attend to and verify the accuracy and completeness of detailed information in paper documents or electronically (i.e., charges, data, due dates)

• Basic knowledge of HIV infection and related chronic diseases

• The ability to provide efficient, quality service to both internal and external customers.

• The ability to prioritize, plan, and coordinate work activities, and manage resources so that work objectives are accomplished efficiently

• Knowledge of services covered under the Ryan White program as well as the standards of care. This includes the ability to create and set guidelines and policies within the funded regions and ensure funded agencies abide by set guidelines

WORK ENVIRONMENT AND PHYSICAL DEMANDS

[Include ability to operate a car, include physical requirements for community work, include requirement to lift or move objects if necessary, include travel, etc.] The work environment is representative of that found in a general office environment. Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (up to 10 pounds.) Tasks may involve extended periods of time at a keyboard or workstation and on the telephone.
