Description

We are seeking an Administrative Assistant to join our client's team in Chicago, Illinois. This is a contract position with long-term potential, offering an opportunity to work in a dynamic, entrepreneurial Healthcare Nonprofit environment. This is a Part Time position for 3x days a week, around 20-25 hours weekly.

Responsibilities:

• Assist in the organization's general administration tasks, including but not limited to marketing/communications, database management, fundraising/development, and financial systems.

• Conduct research to support community development, marketing / outreach initiatives, and build the funding partner pipeline.

• Manage various event needs, including registration support, marketing/outreach, sponsorship and donation coordination, day-of requirements, and post-event follow up.

• Provide support for Request for Proposals (RFPs), including RFP outreach and marketing, letter of intent and proposal submission management.

• Assist in managing research clinical trials selected for funding, including agreement finalization, post-award reporting and communications, follow-on reporting as needed.

• Handle customer service tasks such as answering inbound calls, email correspondence, and scheduling appointments.

• Perform data entry tasks and maintain accurate records using Microsoft Office applications such as Excel, Word, PowerPoint, and Outlook.

• Be adaptable and flexible, able to work independently and as part of a team in a small organization.

• Show willingness to learn about different healthcare scenarios and exhibit a genuine interest in the field.

• Contribute to a positive work environment, demonstrating the ability to work without micromanagement and meet goals and deadlines.

Requirements • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

• Ability to handle inbound and outbound calls professionally

• Excellent customer service skills with a client-focused approach

• Strong data entry skills with attention to detail and accuracy

• Experience in managing email correspondence in a professional setting

• Ability to schedule appointments effectively and efficiently

• Strong organizational skills and ability to multitask

• Excellent verbal and written communication skills

• Team player with a proactive and positive attitude

• Ability to handle sensitive information with discretion and confidentiality

• Prior experience in an administrative role is a plus
