About the Department

The University of Chicago Office of Research works with faculty and deans to support and enhance research and to support and oversee institutional research infrastructure including University Research Administration (URA), Research Development Support, the Office of Research Safety, Research Computing Center, Globus, the University of Chicago Consortium for Advanced Science and Engineering (CASE), and Schmidt Future Fellows.

Job Summary

The Office of Research Safety is seeking a Business Administrator who will manage the daily business of the Office of Research Safety, focusing on finance, events, human resources, and support services. The Business Administrator reports to the Associate Provost for Research Safety and the Office of Research Director of Administration and Operations. They will provide professional support and solve straightforward problems for a broad range of business operations and may develop and implement office procedures and policies to ensure compliance. Building knowledge of the organization, its processes, and customers, the Business Administrator will analyze possible solutions using standard procedures, receiving a moderate level of guidance and direction from supervisors.

Responsibilities

  • Provides administrative support to the daily operations of the Office of Research Safety, performing routine and complex assignments in the areas of finance, events, human resources, and support services.
  • Manages the departments\' facilities and support services such as supplies, equipment, vendor contracts, expense management, travel logistics, etc.
  • Finance - tracks program costs and grant allocations, oversees processes related to procurement and payment of invoices, monitoring and reconciling accounts, and other financial support. May help to prepare and monitor the budget in conjunction with the Director of Administration and Operations.
  • Events - assists in coordinating events, including reserving space and hotel rooms, catering, transportation, speaker communications, setup and breakdown, audio/visual equipment, registration and tracking attendees, working with vendors, and preparing support materials.
  • Human Resources - initiates hiring process and administers tasks in UChicago\'s HR and appointment systems, related to visitors, staff, and student staff, which may include processing of payroll and time approval; assists with staff searches, including onboarding and offboarding as well as training and project management of student interns.
  • Creates, edits, and proofs communications, and may prepare information or presentation decks for meetings with internal and external stakeholders.
  • Interacts with faculty, researchers, and staff for committee work or information.
  • Coordinates special projects as directed by the Office of Research Safety leadership.
  • Assists the Director of Administration and Operations with monitoring the various financial and budgetary activities, including vendor contracts. Preparing and monitoring the budget for the departments.
  • Researches and analyzes data to create reports and may create reports for grants and contracts.
  • Prepare special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies. Maintains the leader\'s calendar.
  • Coordinates special projects as directed by the leader. Prepares write ups for recommendations for operational and administrative problems. Manages a portion of the leader\'s budget, monitoring and reconciling acco nts. Prepares financial and/or administrative reports.
  • Performs other related work as needed.

Minimum Qualifications

Education:

Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).

Preferred Qualifications

Experience:

  • 3 years\' experience working in a human resources and financial environment, including working directly with budget forecasting, development, financial management, and accounting oversight.
  • Experience in budget creation and reconciliation.
  • Finance and procurement systems, e.g. GEMS, Concur, Buy Site, Oracle.
  • Human resources administration systems, e.g. Workday.
  • Proficiency with Microsoft Office (Word, PowerPoint, Excel), Box, and Zoom.
  • Experience in University financial/budget operations strongly preferred.
