ADMINISTRATIVE ASSISTANT TAX DEPARTMENT JOB DESCRIPTION
TITLE: Administrative Assistant
MAIN FUNCTION: The Administrative Assistant is primarily responsible for the filing of federal and state compliance work
SAMPLE DUTIES AND RESPONSIBILITIES:
Multi State Secretary of State filings: Organization, dissolution and annual reporting for required entities
US Government and State Income tax filings: Processing and submitting Income tax returns and paying income taxes electronically when required and mailing Income tax returns and estimated payments at the post office when electronic submission is not available.
Due date calendar management: Maintain monthly statutory due date calendar for the team in our File In Time software system
Data entry: Entering information into spreadsheets and databases
Document preparation: Typing letters, reports, presentations, and other documents
File management: Maintaining accurate filing systems, both physical and electronic
Calendar management: Scheduling appointments, meetings, and managing calendars for executives or teams
Communication management: Answering phone calls, directing inquiries, and responding to emails
Office administration: Ordering office supplies, managing inventory, and coordinating maintenance requests
Meeting coordination: Setting up meeting rooms, preparing agendas, taking minutes, and distributing follow-up information
Reception duties: Greeting visitors, directing them to appropriate personnel
Run various errands: Shopping for company showers, picking up birthday cakes, and lunch
MINIMUM QUALIFICATIONS:
Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint
Proficiency in Adobe: Fill in documents for tax filings and modify, merge PDF documents when needed
Confidentiality: Handling sensitive information with discretion
Team-oriented: Ability to effectively work on a team to meet deliverables and common goals
Excellent communication skills: Both written and verbal
Strong organizational skills: Ability to effectively manage and structure tasks, information and systems in a neat, orderly manner
Attention to detail: Ensuring accuracy in all administrative tasks
Time management skills: Ability to prioritize tasks, effectively managing schedules and meet US Treasury and multi state deadlines
