Student Involvement and Leadership Administrative Assistant

 

The primary focus of the position is to provide assistance and customer service to the students, faculty, staff and general public who utilize the services offered by the department of Student Involvement and Leadership. Provide administrative and fiscal support to the professional staff and student leaders and clubs. The administrative assistant is responsible for the ID card services, manages the student workers and night managers, and oversees the operation of the front office.

 

Duties and Responsibilities:

 

• Warmly greet and provide accurate information to persons entering STIL Office.

• Answer phone and provide information, redirect calls to appropriate staff and make calls as necessary.

• Type correspondence and complete monthly reports as directed.

• Maintain cleanliness of the front desk area and entryway.

• Oversee front desk workers schedule, assign tasks, make sure they are up to date on training.

• Notify Support Services Manager when new supplies need to be ordered. Request and schedule needed maintenance on office equipment.

• Complete other tasks assigned by the supervisor and other staff. Such as: Purchasing Orders, contacting other offices, scheduling out calendars, etc.

• Assist in preparation of student activities across campus.

 

Education and Experience Requirements:

 

• Working knowledge of Microsoft Word, Excel, and Google Suite.

• General knowledge in accounting practices and procedures.

• Ability to communicate effectively with students, staff, faculty and community members in person, over the phone and in written communication.

• Superior customer service and people skills required.

• Excellent critical thinking skills with special attention to detail.

• Ability to prioritize, delegate, and think quickly in a fast-paced, demanding office.

• Remain calm in a stressful environment.

• Dependable, punctual and professional in appearance.

 

Preferred:

 

• Office experience with a working knowledge of office procedures, supervisory experience, and willingness to work as a team member.

• Demonstrated knowledge and success in general office practices, etc.

• Experience working with students.
