Southland Industries Senior Project Coordinator - Service in Carrollton, Texas
POSITION SUMMARY
Perform a variety of routine and non-routine clerical and administrative tasks in support of an assigned individual, a group of individuals or a location. Project a professional image and maintain the necessary resources to facilitate a cohesive and productive work environment. Learn project management methods and strategies and become familiar with company systems, while performing various administrative assignments in support of a designated project or group of projects. With supervisory direction, establish goals and accomplish assigned tasks within prescribed time frames and financial parameters.
What you’ll do:
Provide office/job support to Project Management team.
Create and modify documents using MS Word and Excel. Create presentations using PowerPoint.
Issue purchase orders, track and manage material/equipment purchases.
Manage job OCIP/CCIP, MWBE requirements, bonds, and document control.
Perform general clerical duties, including copying, faxing, sorting, binding, supplies inventory, and miscellaneous errands.
Set-up and maintain filing systems (electronic and hard copy).
Set up and coordinate meetings (conference room and teleconferencing).
Take meeting minutes and transcribe dictation tapes.
Act as a liaison from office to field and other company departments (if applicable).
Perform research via internet.
Maintain manager calendar(s).
Pull building permits and request inspections.
Manage subcontractor agreements and process subsequent work agreements.
Process monthly progress billings using company software and AIA Documents.
Assist with assembling, processing and posting job change orders as required.
Code invoices for payment.
Review contract documents to understand scope, systems, and materials to be installed.
Become familiar with the materials, equipment, and components of the technical systems installed by Brandt’s trades.
Advise project management of potential problems, work interferences, schedule difficulties, and the like, as it relates to assigned duties. Learn how Brandt can circumvent and/or resolve such problems.
Compose and edit letters, memos, reports, and procedures as directed.
Assist in assembling/processing day-to-day administrative items (i.e., expense reports, supply requisitions, RFI’s, submittals, shop drawings, procurement, quantity take-offs, etc.) per supervisor’s direction.
Prepare special reports, studies, and statistical analysis per supervisor’s request. May require research, development and/or interpretation of data with little supervision or instruction.
Learn how to interpret project schedules, anticipate manpower requirements and measure subcontractor performance.
Assist with the research and preparation of field change requests to resolve design issues.
Participate in the continuous updating and accurate generation of as-built documents.
Attend project coordination and owner/contractor/architect/engineer meetings as directed.
Assume a proactive approach to career development. Utilize available resources within Brandt as well as request alternative instruction to learn how to become a successful project manager.
Perform additional assignments as requested/needed.
What you’ll need to be successful:
· Knowledge of office routines and business protocol
· Experience in billing, construction terms, paperwork and processes
· Excellent MS Office skills and ability/desire to learn new software systems
· Strong written and verbal communication, interpersonal, and organizational skills
· Ability to type 50-60 WPM accurately
· Familiarity with office equipment (copier, scanner, printer, plotter)
· Ability to multi-task and prioritize
· Knowledge and accuracy in arithmetic
· Advanced knowledge of Brandt reporting and billing needs
· Advanced knowledge of Brandt documentation, systems and management procedures
· Start to read drawings and interpret specifications
· Outstanding organizational skills
· Must obtain OSHA-30 certification within six (6) months from classification start date
· Must be courteous, professional, diplomatic and highly motivated
· Position is contingent upon satisfying all jobsite-specific access requirements, with no outstanding restrictions from any jobsite or from working with any of Brandt’s partnering General Contractors, Owners, Customers, etc.
What you bring to the table:
· High school degree or equivalent; some college preferred
· 4-6 years of proven support/experience in the construction industry
