Job/Position DescriptionAdministrative Asst IIThe Hab Therapy Administrative assistant is responsible for organizing the flow ofHabitation Therapy documents as well as maintaining and purchasing inventory. Theadministrative assistant II is also responsible for management of contracts throughHabitation Therapy including the processing of PRFs and completion of contracts andaddendums as needed. The administrative assistant organizes all Hab Therapy clinicsand schedules appointments for Hab Therapy. The administrative assistant works underthe direct supervision of the Hab Therapy director. Essential Job FunctionsAttends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.Maintains filing and record-keeping systems.Serves as purchaser for HT department.Maintains supply/inventory for HT department.Organizes and schedules therapy related clinics and appointments.Performs general office duties such as ordering supplies and assisting with general human resources work.Assists in planning meetings, conferences, and seminars.Assists in compiling and entering data for charts, graphs, databases, summaries, or reports.Assists in the development of administrative or technical assistance policies and procedures.May provide assistance answering and routing phone calls, taking messages, and greeting and directing visitors to the appropriate staff.May assist in developing training programs.Performs related work as assigned by supervisor.Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agencyand#146;s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.Registrations, Licensure Requirements or CertificationsNone Knowledge Skills AbilitiesKnowledge of office procedures, administrative procedures, spelling, punctuation, grammar, and arithmetic.Knowledge of records administration and file maintenance techniques and procedures.Skill in using personal computer and office equipment.Skill in the use of computer software including Microsoft Office, Word, Excel, PowerPoint, Outlook.Ability to prepare and maintain records, files, and reports.Ability to meet deadlines and handle multiple, complex tasks with moderate supervision.Ability to communicate effectively within the Hospital and with the public both verbally and in writing.Ability to work in harmony with supervisors, peers and subordinates.Ability to work discretely and maintain confidentiality when dealing with sensitive issues.Ability to work cooperatively with others and deal with stressful situations in a diplomatic and tactful manner.Knowledge of records management and retention policies and procedures.Skills in coordinating events, trainings, meetings, travel arrangements and conference calls.Receives and responds to phone calls and email inquiries regarding agency procedures in a positive and professional manner.Skill in transcribing information rapidly and accurately from paperwork to the computer.Initial Screening CriteriaGraduation from an accredited high school or GED.Experience using Microsoft Outlook, Word, and ExcelExperience in database entryAdditional InformationApplicants must pass a fingerprint criminal background check, https://jobshrportal.hhsc.state.tx.us/ENG/CareerPortal/job_profile.cfm?szOrderID=612124 Copy the URL in the preceding sentence to an Internet Explorer browser to apply to the job directly through the Texas Health and Human Services Career Portal.
