Job Summary

Responsible for performing monitoring duties related to records and collateral tracking of commercial, consumer and mortgage loans including control and storage of all paper and electronic loan files and documents. Primary area of responsibility includes, but is not limited to, management and monitoring of collateral related insurance, impounds and escrows and flood monitoring. Provides support in maintaining loan documentation and files, loan document processing and retrieval, processing subpoenas and collateral control and management. Perform all duties in accordance with the company’s policies and procedures, all U.S. state and federal laws and regulations, where the company operates.

Responsibilities

  • Performs loan and/or insurance research and processes document retrieval service requests. Responds to written and phone inquiries from customers and employees.

  • Works with loan and/or insurance documents and related reports, working closely with internal partners, vendors and clients to ensure proper insurance documents are received and maintained.

  • Provides oversight and support in the insurance tracking performed by a 3rd party vendor.

  • Ensures tax, escrow, and insurance transactions are processed timely and accurately.

  • Notifies Relationship Managers of all force placed insurance and works in partnership with the Business unit to address and resolve gaps in post-closing insurance requirements.

  • Performs post-close flood insurance monitoring, working in partnership with the Compliance Group to ensure all regulatory flood requirements are being met.

  • Performs control and maintenance of documents through validation, imaging and filing of all loan related documents.

  • Provides effective customer service and assists in resolving problems within given authority.

  • Provides support to all assigned areas of the department where service or assistance is needed; acts as backup for various records/loan positions and functions, including receiving and processing and daily

  • incoming mail and deliverables and subpoena research.

  • Ensure the timely completion of all requests.

  • Escalates customer calls and/or problem accounts as appropriate.

Qualifications

  • Demonstrates knowledge of, adherence to, monitoring and responsibility for compliance with state and federal regulations and laws as they pertain to this position including but not limited to the following: Regulation Z (Truth in Lending Act), Regulation B (Equal Credit Opportunity Act), Fair Housing Act (FHA), Home Mortgage Disclosure Act (HMDA), Real Estate Settlement Procedures Act (RESPA), Fair Credit Reporting Act (FCRA), Bank Secrecy Act (BSA) in conjunction with the USA PATRIOT Act, Anti-Money Laundering (AML) and Customer Information Program (CIP), Right to Financial Privacy Act (RFPA, state and federal) and Community Reinvestment Act (CRA).

  • Expert level of work experience, knowledge and training in loan servicing, records and insurance activities and terminology.

  • Effective organizational and time management skills.

  • Basic knowledge of related state and federal banking compliance regulations, and other Bank lending policies governing lending including but not limited to fair lending, privacy, RESPA as well as company operational policies and procedures, and the company’s products and services

  • Superior skills in computer terminal and personal computer operation; mainframe computer system; word processing, spreadsheet and specialty software programs.

  • Intermediate typing skills to meet production needs of the position.

  • Intermediate math skills; calculate interest and percentages; balance accounts; add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; locate routine mathematical errors; compute rate, ratio and percent, including the drafting and interpretation of bar graphs.

  • Ability to understand, remember, and apply oral and/or written instructions or other information.

  • Ability to organize thoughts and ideas into understandable terminology.

  • Ability to organize and prioritize own work schedule on a short-term and long-term basis.

  • Ability to understand and follow basic instructions and guidelines.

  • Ability to complete routine forms, use existing form letters, and/or conduct routine oral communication.

  • Ability to work with general supervision while performing duties.

  • High School Diploma required; Bachelor’s Degree preferred.

  • A minimum of 5 years of related experience/training in loan records, servicing and insurance within the financial services industry.

Salary Range: $61,723.00- 75,000.00 USD; Final salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with geographic/market data.
