Job Title: Administrative AssistantJob Description
This position will be the Admin Assistant to the General Manager, acting as the right-hand person to assist with operations, documentation, company events, and meals. This person will be very involved in all aspects of the business and will be responsible for keeping things moving in the absence of the General Manager.
Responsibilities
Perform data entry into our ERP system, including opening customer orders and work orders.
Answer phones and assist customers with requested information.
Create Purchase Orders in our ERP system and distribute copies to suppliers.
Create professional reports for each customer as required following a dispatch.
File information both electronically and physically.
Obtain quotes for equipment rentals and miscellaneous parts required for each job.
Enter costs onto work orders in our ERP system, including labor costs, per diem costs, travel expenses, and miscellaneous parts as required for each job.
Complete monthly expense reports for all service technicians.
Establish new suppliers in advance of placing an order via the New Vendor Approval process.
Establish new customers in advance of opening an order via the New Customer Request process.
Prepare customer orders for invoicing.
Essential Skills
High School Diploma or equivalent.
Customer Service and Administrative experience preferred.
Experience with Microsoft software.
Experience with ERP systems.
Strong work ethic and drive to learn all aspects of the business.

Work Environment
The role operates in a fast-paced work environment. The administrative assistant will have their own office but may need to go into the shop from time to time. The dress code is business casual, with jeans allowed (no holes) and closed-toe shoes required. The work schedule is Monday to Friday, 8:00 am to 4:30 pm, with a 1/2 hour lunch break. This position offers a long-term opportunity with many avenues for growth potential, as the last two individuals in this role have been promoted to managers of different departments. The pay range for this position is $40000.00 - $42000.00/yr.
