  • Competency using a variety of technology, e.g., Microsoft Office, collaboration tools, admissions and/or event management systems.

  • Organize recruitment and yield events, as well as off-campus consortium travel; plan meetings and collaborate with event planning counterparts at consortium institutions.

  • Manage contracts, set up event spaces, order catering and materials, arrange for media services, and track registrations.

  • In conjunction with supervisor, liaise and organize meetings with partner offices (across Harvard and beyond) regarding joint events, outside speakers, scheduling, programming, and more.

  • Prepare staff for travel to and participation in off-campus events (e.g., materials, itineraries, contacts).

  • Coordinate staff availability for Visitas (on-campus yield event), creating schedule of assignments; manage check-in experience for 1,200 admitted student guests.

  • Ensure ongoing documentation of policies and procedures of the Visitas program, as well as visitor compliance with university and public health guidelines.

  • Monitor and process expenses and reimbursements, including payments to hotels, other vendors, and partner institutions for shared expenses.

  • Make alternate arrangements to staff travel and event participation, as needed, in accordance with university and public health guidelines.

  • As needed, conduct information sessions and presentations about Harvard College admissions and financial aid to campus visitors; respond to questions from prospective applicants and their families.

Job Summary:

The Recruitment Coordinator is primarily responsible for organizing on-campus recruitment and yield events, as well as off-campus consortium travel with partner schools. The position assists with logistics, contracting, liaising with partner offices, and tracking expenses. As needed, the individual conducts information sessions and other presentations about Harvard College Admissions and Financial Aid to prospective students and their families.

Additional details will be discussed during the interview process.
